**Summary**

We are seeking a dedicated Maintenance Manager to join our team at Y Property Management. This role is essential in overseeing and managing the day-to-day maintenance operations of high-density residential properties, with a strong focus on efficiently handling high volumes of tenant maintenance requests. This role leads a small team of maintenance technicians and various onsite keyholders, ensuring timely, professional, and cost-effective resolution of work orders, preventative maintenance, and tenant-facing issues. The manager is also responsible for documentation, vendor coordination, and adherence to maintenance budgets.

**Responsibilities**:
**Daily Maintenance & Operations**
- Execute, oversee and manage daily maintenance operations across multi-family residential buildings with a high volume of service requests.
- Prioritize, assign, and track work orders to ensure timely and professional issue resolution.
- Directly supervise two maintenance technicians and coordinate the activities of multiple onsite key holders.
- Monitor and enforce standards for work quality, professionalism, and adherence to timelines across the team.
- Support Management in other activities as required.
- Schedules, trains, and manages maintenance staff and onsite keyholders to ensure effective coverage, performance, and adherence to company standards
- Accurately log time spent, parts used, and actions taken for each work order in Yardi, ensuring proper close-out with notes and photos.

**Preventative Maintenance & Inspections**
- Maintain a structured preventative maintenance program and conduct monthly reviews of scheduled obligations.
- Contribution in the creation, scheduling, and execution of daily, weekly, monthly, and annual inspections and maintenance activities at assigned properties, in alignment with O&M manuals and under the guidance of the Maintenance Manager.
- Conduct regular property and unit inspections, record findings, and organize related documentation.

**Unit Turnovers & Renovation**
- Manage unit turnovers, budget and coordinate related repairs and inspections.
- Participates in miscellaneous construction and renovation projects as needed.
- Support full unit turnover preparation, including patching drywall, painting, cleaning, light fixture and faucet replacement, and appliance hookup.
- Follow turnover procedures and attend bi-weekly turnover meetings
- Conduct move-out condition assessments and collaborate with Property Managers to prioritize and complete turnover repairs within the set budget and timeframe.
- Work closely with cleaners and external contractors to ensure suites are ready for occupancy by the scheduled move-in date.

**Tenant Communication & Service**
- Coordinate with tenants and property managers to ensure high-quality communication and resolution of maintenance issues.

**Emergency Response**
- Handle emergency maintenance calls and provide after-hours support when required.

**Vendor, Supply & Coordination**
- Coordinate with snow removal, landscaping, HVAC, and plumbing contractors; ensure insurance and WSIB compliance.
- Approve or escalate maintenance spending and ensure work is executed in line with property budgets.
- Quote and coordinate small to medium repair and capital jobs, sourcing qualified contractors when necessary.

**Inventory, Tools & Fleet**
- Manage inventory and procurement of tools, materials, and supplies while ensuring cost effectiveness.
- Oversee the proper use, upkeep, and documentation of company vehicle and field equipment.

**Compliance & Safety**
- Conduct regular property and unit inspections, document findings, and maintain compliance checklists.
- Train and supervise maintenance staff in safety practices, quality control, and technical procedures.
- Responsible for organizing, maintaining, and executing key and door access systems to ensure secure and efficient property access.
- Address & report unsafe conditions, building damage, or code compliance issues to the Maintenance Manager immediately.

**Documentation & Communication**
- Storage of all related files per company procedures utilizing Google Drive.
- Collect and verify contractor insurance and WSIB compliance documentation.
- Conduct regular property and unit inspections, record findings, and organize related documentation.

Coordinates and conducts inspections to ensure fire safety compliance across all building systems, including extinguishers, alarms, sprinklers, and emergency egress pathways.
