Positive Dance Experience is growing We’re seeking an exceptional individual to join us as a Customer Service & Administrative Assistant (as an independent contractor). As the Customer Service & Administrative Assistant for Positive Dance Experience, you will be our first point of contact for our valued members, and consequently one of our most important brand ambassadors Your 6-star customer service will help us foster happy and loyal customer relationships for years to come. This position is an in-person role and will require a weekday schedule of 3:30pm-8:30pm. Estimated hours per week: 25 hours, with potential for overtime hours to attend events. **Tasks and Responsibilities**: We are looking for a creative, tech-savvy, efficiency-minded, and detail-oriented star to join our team as the Customer Service & Administrative Assistant. You will have experience delivering outstanding customer service including attending to a variety of administrative tasks. Specifically, you will have outstanding attention to detail and hold high expectations for yourself to provide an excellent level of service to every client. **The Day to day - What you’ll be doing exactly**: - Adding to contacts to Jackrabbit and tagging appropriately - Scheduling private lessons - Organization & Administration:_ - Checking and adding tasks in asana - Organization for Dropbox folders and files - Creating and managing documents in google - Creating PDF documents - Creating reports, forms, templates, etc - Conducting online research - Publishing blog posts (WordPress) including adding images, tags and keywords - Publishing newsletters - Managing contacts - Scheduling meetings in Zoom - Generating screenshot and organizing testimonials - Invoicing and expense management - Social Media:_ - Posting and scheduling Facebook and Instagram posts and page status updates weekly. - Responding to incoming inquiries on Facebook and Instagram - Recording appropriate class content for social media - Customer Service (based on Positive Dance Experience’s Mission and Values; see_ - below):_ - Managing customer questions and concerns - Providing appropriate responses and/or solutions within reasonable time limits - Following up to ensure customer is satisfied when appropriate - Keeping records of customer interactions and file appropriate documents - Following Positive Dance Experience’s communication procedures, guidelines, and policies - Providing tours of the studio to new clients - Introducing new students to their teachers - Going the extra mile to engage with customers (i.e., the student and their family members) - You are self-motivated and enjoy making decisions independently. - You know how to prioritize the most important tasks with mínimal guidance and how to think on your feet. - You also enjoy working in a team and are willing to learn, take direction and feedback from others to achieve success. - You appreciate the need to communicate openly with your manager about your work successes and challenges to ensure that nobody is caught off-guard. - You are deadline-obsessed and detail-oriented - you love doing tasks on time and checking them off your ‘To Do’ list. - You own your work and if you make a mistake, you accept responsibility, learn, and move quickly to remedy the situation. - You see yourself as a bridge between our company’s policies and our customer needs. As such, you know when it’s appropriate to be friendly and accommodating and when to be firm. - You are inclusive and are accepting of all religions, races, sexual orientation, etc. - Technically, you have experience with (or are willing to learn) the following software: - Jackrabbit - Google (drive, gmail, calendar etc) - Vimeo - Asana - Garageband - iMovie - WordPress - YouTube So, what do you think?
