The Opportunity
Columbia College is seeking a proactive and resourceful Campus Operations Coordinator. The Campus Operations Coordinator will be required to work **Tuesday to Saturday from 9:00 am to 5:00 pm. **The role holder may work remotely one day per week.
The position will start in September/October.
**SUMMARY**:
The **Campus Operations Coordinator** will have an understanding of the College's two physical campuses and their related operations, as well as ensure that operations relating to student enrolment and registration run successfully. This will include scheduling and projects relating to our building, services, and Student Information System (SIS) use.
As an essential support on campus, the Campus Operations Coordinator will work closely with our Administration Team, particularly the VP Operations and VP Academic, and Building Engineer, but will respond to requests from a variety of stakeholders.
Key Responsibilities
**Building matters**:
- Respond to day-to-day issues regarding the Main Campus, including but not limited to janitorial services, security, furniture, and parking.
- Coordinate administrative processes related to the building, including key sign-in and -out, building schedules, maintaining inventory, and signage.
- Support the smooth running and clean-up of on-campus events.
- Work with North Campus building management and High School staff to ensure that the space is fit for purpose to meet the needs of students and instructors.
- Work to maintain the professional appearance of the campuses.
- Schedule room assignments and bookings for the semester timetable in conjunction with the Vice Principal Academic.
- Develop the semesterly exam schedule for each semester and respond to exam conflicts.
- Respond to room booking requests from internal and external stakeholders.
- Coordinate the Emergency Warden program, including recruitment, training, and ensuring adequate coverage for emergency drills.
- Provide support to campus wellness and safety initiatives, including but not limited to health and safety planning, emergency responses, and other tasks on behalf of the Occupational Health, Safety & Emergency Committee (OHSEC).
**Student Information System (SIS)**:
- Work with multiple departments to develop training guides to ensure consistency of data entry into CAMS.
- Work with the VP of Operations and CAMS Manager to ensure that the capabilities of CAMS are optimized to fit the operations of the College.
- Coordinate Registration Group meetings to support the smooth running of student registration and orientation.
- Ensure course information and degree audits are up to date and set up correctly to aid student registration.
**Other**:
- Take minutes at monthly Operations meetings and other meetings as required.
- Any other special projects requested by the VPO.
- Bachelor's degree preferred.
- A minimum of Two (2) years of experience as a Campus Operations Coordinator or in a related position.
- Experience in using CAMS (or equivalent Student Information System) is required.
- Ability to work in a highly flexible and innovative environment with an expanding role and shifting responsibilities.
- Strong interpersonal and written communication skills
- Meticulous attention to detail is required for this role.
- A high degree of diplomacy, customer service, and organizational skills are required.
- Demonstrated ability to handle multiple tasks simultaneously, respond to last-minute requests, solve problems, act with discretion, adapt to change, and maintain a professional demeanour at all times.
- Willingness to be proactive, take initiative, and take ownership when issues arise.
- Must enjoy handling the needs of a wide array of students, staff, faculty, and visitors.
- Must be able to handle sensitive material, set priorities, and work independently or as part of a team.
- High degree of proficiency with MS Suite Office, Outlook, PowerPoint, website, and database management.
Salary
Columbia College offers a competitive compensation package. This position's initial annual salary range is $61,839 - 68,098 based on experience and qualifications.
All Columbia College employees are covered by the Columbia College Employment Agreement, which includes full benefits, a generous RRSP plan, and vacation once confirmed.
