**Office Administrator**

Acuity Counselling and Therapy Services is a multidisciplinary practice with a fast paced environment that is committed to providing timely mental health services to clients in need. We are looking to hire an Office Administrator to assist in running the reception area at our clinic.

**Key Responsibilities**:

- Answer and transfer telephone inquires
- Ensure office is opened and closed daily, as per established schedules
- Provide reception duties at the front counter of the office such as greeting clients and keeping area clean and tidy
- Use a scheduling software system to book appointments and check in clients
- Sort and distribute mail and other deliveries
- Process payments from clients and obtain financial and insurance information
- Answer telephone inquiries from clients; screen calls to determine the nature and urgency of inquiry; refer intake calls, assist clients as needed regarding clinic policies and procedures
- Stock office supplies
- Tidy up reception area
- Organize client records

**Qualifications**:

- Certificate or Diploma in a Business Administration program with 2-3 years' relevant experience, preferably in a health related administrative support role (or equivalent combination of training and experience)
- Proven experience in an administrative role
- Excellent computer (MS Office, Excel, PowerPoint, internet) skills are required
- Demonstrated experience in dealing with confidential, sensitive information
- Experience working in the mental health field is highly preferred
- Detail oriented and comfortable working in a fast-paced environment
- Exceptional communication and interpersonal skills
- Superior organization skills and dedication to completing tasks in a timely manner
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Ability to exercise tact and diplomacy in escalating situations but maintain a calm and firm stand on policies and procedures
