Our client is a top financial institution with significant North American holdings. They have operations across most major verticals, including institutional & corporate, wealth management, private client, commercial banking, treasury, and retail banking.
**Introduction**:Robertson is seeking a skilled Events Coordinator to join our client.
**Contract Period**: 6 months with potential to extend or convert
**Pay Rate**:Starting from $28 per hour
**Location**: Toronto, ON
**Location Type**:Hybrid; Onsite twice a week
**Business Hours**: Schedule may change due to event coordination and planning but following regular work week hours 37.5 hours
**Responsibilities**:
**Program Development & Execution**
- Building registration sites and managing attendance lists
- Managing hotel rooming lists
- Venue/vendor sourcing, contracting and negotiations based on specified budgets
- Compiling data on post program surveys and development of post program feedback summaries
- Working with project team members to assist with the administration of various departmental initiatives
- Researching opportunities to maximize experience, budget and technologies used
**Administration**
- Assist with the packing and shipping of materials and ordering supplies
- Processing invoice payments
- Providing other administrative support as required to assist Senior Event Planners to prepare and plan for events
**Onsite Support**
- Provide onsite support for the bank’s wealth business and client events to assist with room set up, registration desk and other onsite support responsibilities
**Team**
- Strong commitment to providing superior service to our bank’s business partners
- Ability to cultivate and work closely with Wealth business partners (at all management levels), (Commercial, Securities, CAPA,) external vendors (ex. AV providers, hotels, gifting vendors etc.) and community partners
- Work collaboratively on multiple events at the same time, with several different team members
- Demonstrate the ability to communicate well and share responsibilities with co-workers
**Experience & Qualification Requirements**:
- Initiative-taking individual with a proven track record to deliver results with a can-do approach
- 3+ years of experience planning multi-day conferences, large social events
- Strong time-management and organizational skills to pivot quickly and manage multiple deadlines and priorities within a fast paced, high-pressure environment
- Experience with Event Management/registration software's such as SurveyMonkey, Cvent, Fluid etc.
- Excellent communication skills (both written and verbal)
- Demonstrated strong, problem solving, negotiation & decision-making skills
- Strong relationship building skills with an ability to impact and influence at all levels
- Ability to travel as required, a valid driver's license and passport is recommended and the ability to work variable
hours driven by the needs of the business
- Superior knowledge of Microsoft Word, PowerPoint, Excel & Outlook
