Executive Administrative Assistant

Providing administrative support to the company to help advance the company’s goals and initiatives. The EAA will support management with the organization’s day-to-day functions by helping coordinate schedules, presentations, meetings, filing organization or compiling data.
Job responsibilities/tasks:
- Filing
- Orientation preparation and presentation
- Reference checks
- Data entry
- Organize and prepare for meetings, including note-taking
- Draft and review communication
- Social Media (Instagram/Twitter/Website)
- Creating and updating documentation (e.g., policies, procedures, manuals, promotional material)
- Specialty marketing
- Brochures
- Scheduling
- Customer services retention
- App management
- Database management
Additional Expectations:
- Maintains a positive and pleasant attitude when working with clients, customers, and other team members.
- Ability to work cooperatively and communicate with others.
- **Performs additional duties as required.**:
- Ensure client, employee and agency confidentiality, always adhering to FOIP and Cosmos’s policies and procedures.
Safety and Well-Being
- Ensure all agency areas are clean, secure, and well-maintained.
- Read, understand and comply with Cosmos’ Health and Safety policies and safe work procedures/practices
- Wear the appropriate personal protective equipment and clothing for their job duties
- Report any unsafe, unhealthy condition to their supervisor immediately
- Report any injury, equipment damage, or near misses to their immediate supervisor and complete the required documentation
- Take every reasonable precaution to protect the safety of co-workers, clients, and self.
- Actively and positively participate in the Cosmos’ Health and Safety Program
- Demonstrate positive approved safety practices and procedures and set a good example for fellow employees
- Have the opportunity to be a member of the Health and Safety Committee and participate in the maintenance of the Health and Safety Program
- Make safety suggestions to their supervisor or Health and Safety Committee
Education, Experience and Qualifications:
- Completion of Administrative Diploma
- Excellent computer skills, including Microsoft Office experience (Word, Excel, PowerPoint)
- Familiar with scheduling software
- Marketing knowledge would be an asset
- Excellent writing, editing and proof-reading skills
- Attention to detail
- Exceptional organization and time-management skills
Mandatory Conditions
- Clear Vulnerable Sector Check
- Driver’s Abstract and Valid Driver’s License
- Valid Vehicle Insurance ($2 million liability)
- Reliable Vehicle
- Valid Emergency First Aid Certification
- Nonviolent Physical Crisis Intervention Training
