**Position Overview**:
**Key Responsibilities**:
- Oversee and coordinate office administrative procedures, including upkeeping of the office premises and reporting any maintenance issues to ensure organizational effectiveness
- Coordinate office activities and operations to secure efficiency and compliance with company policies
- In charge of the reception, receiving deliveries, greeting and attending to visitors, and is expected to always appear presentable and office-appropriate
- Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies
- Opening and closing procedures, includes but not limited to preparation of morning coffee/tea, running the dishwasher and ensuring the office is locked before leaving, etc.
- Managing conference room bookings and provide support during meetings and other arrangements
- Provide support to other staff (research, data entry, social media, etc.)
- Assist with company events and gatherings
- Managing office and tenant directories
- Provide support in accounting duties as required, such as cheque preparation, following up with payments, and preparation of payment receipts
- Provide support in operation duties as required, such as sending inquiries, coordinating with vendors, and scheduling appointments
- Provide support in marketing duties as required, such as preparing presentations, market research, and creating simple graphics
- Manage office filing systems and databases, including daily mailbox checking and distribution
- Other tasks, as delegated
**Qualifications**:
- Bachelor’s degree of any related course
- Strong organizational skills with the ability to prioritize tasks effectively and with good initiative
- Excellent communication skills and professional phone/mailing etiquette
- Previous experience of at least 2 years in an administrative role is preferred
- Familiarity with front desk operations is preferred
- Should have a great computer know-how
- Should have expert knowledge on MS Office and Google suite
- Keen eye on design, proficient with Canva, Adobe Photoshop, or any other design-related software
Pay: $17.00-$19.00 per hour
Expected hours: 40 per week
