Compensation Range

$5,365.42 - $7,709.92 CAD Monthly

Job Description Summary

Scheduling Analyst plays an important role in the overall planning and direction of the scheduling environment for Enrolment Services. The Scheduling Analyst leads high-level requirements gathering and analysis of complex scheduling systems and the student information system. This position plays a critical role in scheduling analysis/reports and is a liaison, building and managing strong working relationships with business units and stakeholders, both internal and external to Enrolment Services (ES), including UBC IT teams. The Scheduling Analyst is called upon to collaborate with all levels of staff at the university, both technical and non-technical as well as provide guidance to Scheduling Services business stakeholders in the participation and direction of systems and business implementation projects. This role provides technical and business support, for the scheduling process review and also actively engages in systems design, testing, simulations and quality assurance.

Organizational Status

The Scheduling Analyst, reports to the Manager, Scheduling Services. The Scheduling Analyst interacts with all levels of staff across units within Enrolment Services and other academic and service units across the campus, including UBC IT, to identify system and business requirements. The Scheduling Analyst may coordinate, provide direction and/or assign work to staff when necessary.

Work Performed
- Responsible for creating the University’s course academic timetable.
- Develops and runs complex reports in the Scheduling and Student Information Systems to support the creation of the academic course timetable for the entire university(?)
- Gathers course scheduling requirements needed to create University’s timetable each year.
- Review and analyze course scheduling elements from faculties and service units for change(s) to the new implemented course scheduling model
- Actively engages with T-Reps (Timetable Representatives) to, provide guidance to scheduling Services business Using in-depth knowledge of the Student Information System and Scheduling software (Scientia), guides the business stakeholders in determining and articulating their business needs and how system integration efforts can be a benefit to them; works with UBC IT to communicate business issues on behalf of multiple stakeholders; communicates solution proposals, resource estimates and scoping assumptions back to stakeholders and involves stakeholders in discussions as appropriate.
- Responsible for communications to the Scheduling community users critical business updates and developments in a timely and efficient manner
- Communicates the status of Scheduling initiatives, projects and operational performance of scheduling model to all business unit (s)
- Monitors the new implementation of the academic course scheduling model progress including providing direction, advice, training and feedback
- Negotiates deliverables and timing across multiple stakeholders; manages stakeholder s expectations during high stress problem/crisis situations and keeps relevant parties focused on the primary objectives and critical tasks at hand.
- Examines processes for streamlining opportunities and coordinates relevant systems and business process changes, including working with the Integrated Renewal Program as it relates to the new student information system
- Coordinates testing/simulations of developments and/or improvements to the Scheduling System and ensures quality assurance.
- Keeps up to date with new technologies and leverages them to recommend and provide creative solutions for staff.
