**Position Description**:
**Facilities - Program Coordinator**

The Facilities Operations Program Coordinator will work to service and support the SickKids PGCRL Research Institute from an operations and facilities perspective. The Facilities Operation Operations Program Coordinator is also responsible for managing assignments while balancing the day to day operational needs of the Facilities Operations. This role is one which requires a strong understanding of facilities, equipment and infrastructure requirements as they pertain to the operations of basic science research, clinical research and vivarium work conducted in a healthcare academia research setting.

The Facilities Operations Program Coordinator needs to have a rudimentary understanding of building design (architectural, structural, mechanical, and electrical systems) and infrastructure. They use their sound knowledge and judgment to translate user (scientists and researchers) requirements and implications on the operations of research and science related to Facilities Operations. The Facilities Operations Coordinator will work in close collaboration with the Research Institute senior coordinators on infrastructure related issues.

Operationally, the Coordinator will perform regular duties and assignments related to both corrective and preventive maintenance to maintain both equipment and facilities included in the Facilities Operations portfolio.

- Process payroll, sick time, lieu time, vacation requests, for approval by Manager and/or Supervisor
- Procure required quotations from supplier and service contractors as assigned by Manager, Supervisor, Maintenance Staff
- Prepare and submit all purchase requisitions for approval and processing as assigned by Manager, Supervisor, Maintenance staff
- Confirm purchase order has been created accurately as per description of purchase requisition and supplier and/or service contractor have received copy
- Coordinate and maintain timelines for the preventive maintenance schedule for all maintenance staff and service contractors
- Enter all new equipment assets and specifications into Archibus data base
- Affix all SCFO Asset Labels on all equipment within the PGCRL Mechanical and Electrical rooms as directed
- Develop a detailed inventory of all spare equipment, components and supplies and maintain appropriate inventory levels
- Develop, revise and input Preventive Maintenance work order task sheets into Archibus
- Maintain an organized library of all service contracts
- Organize and maintain all service work order records attained since 2013 for all equipment on a preventive and corrective maintenance service contracts
- Coordinate and maintain all regulatory licenses, certificates and inspections for TSSA, ESA and Building and Liability Insurance carrier
- Organize, schedule and maintain records for all SickKids and Regulated mandatory annual training sessions for Maintenance staff
- Training and certification for Transportation of Dangerous goods and signing authority for Waste Manifests
- Coordination and supervision of Dangerous Goods Waste Contractor for the removal of Dangerous goods from PGCRL monthly
- Coordination and supervision of Recycling Contractors for the recycling of laboratory items, obsolete and/or broken equipment and supplies
- Confirm, process and submit all invoices weekly for services and supplies to Accounts Payable
- Administer and resolve all unpaid invoice queries with suppliers and contractors directly with Accounts Payable
- Maintain records, organize and advise RI of all required processes for corrective and preventive maintenance planned shutdowns
- Follow up with service contractors to maintain agreed to preventive maintenance schedules
- Provides exemplary communication, facilitation, relationship management, collaboration and customer service skills to ensure the ongoing science happening at SickKids is not jeopardized
- Communicates accomplished results to the key stakeholders
