We are looking for an Executive Assistant to join our Corporate Actuarial team. As the Executive Assistant, you will report to the SVP, Appointed Actuary and provide additional support to VP’s within the team across different geographies.
The Corporate Actuarial team plays a central role in actuarial oversight for Great-West Lifeco. The team leads the oversight of the valuation of insurance contract liabilities, and supporting processes, across Lifeco’s operations, as well as the analysis of the robustness of the Company’s financial condition through the Financial Controls Testing (FCT) process. The team supports the Appointed Actuary in exercising oversight on the operation of participating policies and adjustable policies, and in preparing the annual opinions on fairness as required under the Insurance Companies Act in Canada.

**What you will do**
- Organize schedules and correspondence, independently follow-up on action items, maintain calendars, coordinate travel arrangements and expense reports, maintain files, and prepare correspondence and other presentation materials
- Preserve confidentiality and demonstrate sound judgment regarding sensitive matters
- Determine priorities while dealing with conflicting deadlines, in a fast-paced environment
- Evaluate and revise priorities & schedules when unexpected situations arise, using initiative, independent judgment, and tact
- Assist with day-to-day logistics to make sure that the executives you support are in the right place at the right time, but you’ll take a common sense approach and ensure that they get a work-life balance too (breathing space is useful throughout the day)
- Coordinate complex scheduling and arrangement of international itineraries, considering weather, travel time, culture etc. Accountable for expense tracking in multiple systems.
- Preparing reports, presentations, and handouts for meetings; webinars; conferences and other events as required
- Collate topic requests, curate agendas, distribute pre-reading materials for the executive leadership team to ensure effective use of time.
- Attend meetings to take minutes, identify action items and follow up with content and deliverables, as well as distribute documentation following the meeting in a timely manner as appropriate.
- Collaborate with internal teams to deliver tasks, ensuring timely updates and response to all requests
- Collaborate with other Executive Assistants to help coordinate across executive teams
- Coordinate and manage special projects, assignments and other duties as required
- Support the planning and organization of team events, including celebrations, activities around holiday season, and recognizing the achievements of our teamPlan, organize and manage department ctivities such as department meetings, townhalls, annual planning and other events.
- General office duties including supplies and equipment maintenance for the Executives and the general executive offices
**What you will bring**
- 5+ years of experience in an executive support role
- Experience supporting an executive team who works closely with executive internal and external stakeholders as well as board and regulators.
- Experience supporting executives across different locations
- Experience working in a complex matrixed organizational structure and an ability to quickly learn these structures
- Excellent prioritization skills with an ability to filter information and a resourcefulness to handle multiple competing priorities under tight timelines.
- Post-secondary education, or a combination of education and work experience
- Exceptional Microsoft Office Skills (Excel, Word, PowerPoint and Teams)
- Bilingual French is an asset
- Excellent decision-making, analytical and problem-solving skills
- Demonstrated customer service mindset
- Ability to build and manage trusting relationships with business partners
- Excellent interpersonal and communication skills, both written and verbal to interact with a wide variety of individuals
- Demonstrated strong organizational capabilities with the ability to handle multiple priorities and fluctuating workloads, while adhering to strict deadlines
- Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information
- Demonstrated business judgment, flexibility, initiative, creativity with a positive professional attitude and image
- Self-starter with the ability to work independently, as well as, part of a team
The base salary for this position is between **$48,600**:
- $72,900 **annually. This represents base salary only and does not represent other variable comp
