**Ollo Metrics** is seeking a highly experienced and motivated **Executive Assistant, Operations & Finance ** to support the daily operations of our **Digital Marketing Agency. **Responsible for the efficiency of business. The **Executive Assistant** will work directly with the management team, reporting directly to the co-founders.
The goal of the **Executive Assistant, Operations & Finance** position is to execute on effective strategies to improve operational efficiency, maintain financial records, boost productivity, and achieve **Ollo Metrics’** stated goals and objectives.
Your responsibilities will range from managing schedules and correspondence to bookkeeping, AR, AP and producing financial reports.
This role involves working closely with management, handling various tasks to streamline their work and communications. As an individual contributor, you will provide personalized assistance, ensuring smooth operations and effective communication.
We require someone who is proactive, detail-oriented, and possesses exceptional organizational and communication skills.
**Responsibilities**
- Work with the Management Team to establish growth and profitability targets
- Run and manage internal meetings
- Organizing and scheduling appointments
- Assist with vendors software accounts
- Planning meetings and taking detailed minutes
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Handling administrative requests and queries from senior managers
- Manage all accounting transactions
- Record day to day financial transactions and complete the posting process
- Process accounts receivable/payable and handle payroll in a timely manner
- Report on company P&L and departmental budgets
- Submit and reconcile expense reports
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
**Qualifications**
- Proven experience as an Executive Assistant, Virtual Assistant or Office Admin Assistant
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Work experience as an Accountant and/or bookkeeper
- Excellent knowledge of accounting regulations and procedures, including the Generally Accepted Accounting Principles (GAAP)
- Hands-on experience with accounting software like Xero and QuickBooks
- Advanced spreadsheet skills including Vlookups and pivot tables
- Experience with general ledger functions
- Strong attention to detail and good analytical skills
- Additional certification (CPA or CMA) is a plus

Exact compensation will be discussed during the interview, but as a general rule, we believe in paying people well and providing them a fun place where they can do meaningful work.

Pay: $50,000.00-$75,000.00 per year
