As we expand our initiatives and partnerships, we’re seeking a highly organized and proactive **Executive Assistant and Keyholder** to support our leadership team, streamline operations, and serve as a trusted partner in managing day-to-day activities.
**Job Summary**:
You will manage schedules, oversee critical projects, and act as a trusted representative of Africopia in certain high-level interactions. As a **Keyholder**, you will also serve as a decision-maker in the absence of executives, ensuring continuity and accountability.
**Key Responsibilities:Executive Support**:
- Manage the Executive Council, CEO's, advisors and leadership team’s schedules, including meetings, events, and travel arrangements.
- Draft and manage correspondence, reports, and presentations on behalf of executives.
- Serve as the first point of contact for key stakeholders, ensuring timely and professional communication.
**Operations Management**:
- Oversee administrative tasks, including organizing digital files, updating databases, and maintaining Africopia’s operational systems.
- Assist in managing budgets, invoices, and expense reports.
- Support strategic initiatives, including fundraising, partnership development, and program coordination.
**Keyholder Responsibilities**:
- Act as a decision-maker for operational issues in the absence of leadership, ensuring continuity and efficiency.
- Oversee and manage critical projects, ensuring deadlines and goals are met.
- Represent Africopia in meetings or events when executives are unavailable.
**Project Management**:
- Coordinate cross-functional initiatives across departments, ensuring alignment with Africopia’s mission and vision.
- Track and report on project progress, providing updates to the leadership team.
- Manage special projects, including event planning, fundraising campaigns, or new program rollouts.
**Leadership Support**:
- Serve as a liaison between executives and team members, ensuring clarity and alignment on priorities.
- Provide insights or recommendations to improve processes and workflows.
**Qualifications**:
- Proven experience as an executive assistant, operations manager, or in a similar role.
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills; experience drafting professional correspondence and reports.
- Tech-savvy with proficiency in tools like Google Workspace, Microsoft Office, project management platforms (e.g., Trello, Asana), and CRMs.
- Ability to maintain confidentiality and act with discretion.
- Strong problem-solving skills and the ability to make decisions under pressure.
- A proactive and self-motivated mindset, with a strong sense of ownership and accountability.
**Preferred Qualifications**:
- Experience in the nonprofit or social enterprise sector.
- Familiarity with Africopia’s mission and a passion for supporting African creatives and entrepreneurs.
- Background in event coordination, fundraising, or partnership development is a plus.
