Detailed Description:
**Position**: Administrative Assistant
**Department**: Operations
**Location**: Burlington, Ontario
**Job Type**: Full Time
**Length of Term**:Permanent
**Responsibilities**:
- Correspondence for the AVP and Property Managers
- Reception Duties
- Monthly Building Fire Testing Notices
- Monthly Building Inspection tracking
- Process Tenant Notice to Vacates
- Order Business Cards
- Scheduling and Coordination of events in conjunction with Branch Admin
- Complete Chargeback letters for Property Managers and update tracker
- Signage orders
- WSIB certificate updates/procedures
- Office supply orders for branch and sites
- Tracking and follow up of monthly building health and safety inspections
- Monthly updating of the life safety repeat deficiency tracker
- Track and follow up on Life Safety Façade inspections
- Maintain First Aid tracking in conjunction with the Training Facilitator
- Track and follow up on incoming tenant inspections
- Order flowers for sick/hospitalized employees/birthday cakes
- Update trades lists
- Distribute list of weekly amenity closures
- Distribute weekly list of capex projects currently “in-progress”
- Track Spring/Winter Checklists
- Printing orders
- Distribute Holiday Office Hours and Closure Notices
- Track and Update Building Winter/Snow Logs
- Hydro and Utility chargeback letters
- Assist with coordinating branch events (Christmas Party, Summer Picnic)
- Other administrative duties as assigned.
**Skills, Abilities and Requirements**:
- Bachelor Degree/Diploma from a recognized college or university is an asset
- Must be proficient in Word & Excel and the ability to learn new programs
- 2-3 years administrative experience required
- Excellent verbal and written communication
- Excellent interpersonal skills
- Excellent computer and related technology skills
- Excellent customer service ability
- Strong Attention to detail
- Must be able to meet deadlines
- Must be proficient on the telephone
- Must be able to bring an enthusiastic attitude to a team environment
Additional Information
A satisfactory reference check and criminal records clearance are required for the position.
