**Position Overview**
We’re looking for a detail-oriented, highly organized Administrative Coordinator to be the backbone of our daily operations—someone who keeps projects moving, supports multiple teams, and ensures nothing falls through the cracks.
**About the Role**
As Administrative Coordinator, you’ll be responsible for providing high-level administrative support across departments, ensuring smooth operations, and helping the team stay organized and focused. This role blends day-to-day operational tasks with project coordination, making it ideal for someone who enjoys variety and takes pride in making things run seamlessly.
**What You’ll Do**
- Manage and coordinate schedules, meetings, and travel arrangements for team members and leadership
- Prepare meeting agendas, take notes, and track follow-up actions
- Maintain organized filing systems—digital and physical—ensuring easy access to information
- Process expense reports, purchase orders, and basic bookkeeping tasks as needed
- Coordinate office supplies, equipment, and vendor relationships
- Assist with onboarding processes for new hires, including setting up workstations and accounts
- Support internal communications by drafting memos, updates, and announcements
- Liaise with other departments to keep projects on track and information flowing smoothly
- Handle confidential information with discretion and professionalism
**What We’re Looking For**
- 2-4 years of administrative or office coordination experience (agency, nonprofit, or corporate environment)
- Strong organizational skills with the ability to juggle multiple priorities at once
- Excellent written and verbal communication skills
- Comfortable working independently and as part of a collaborative team
- High attention to detail, reliability, and problem-solving skills
**Language**:
- Mandarin (preferred)
