**Job Summary**

The Dealer Trade/Fleet Coordinator will conduct all aspect of the dealer traders; locate purchase and place in stock any vehicle required by the dealership. This position will also be responsible for aiding other dealerships seeking to purchase a new vehicle from our inventory. Further, this position encompasses the responsibilities of the coordinator of fleet vehicles and ensures that the fleet paperwork and legislative requirements are completed with professionalism, efficiency and accuracy. The Coordinator ensures positive and professional working relations with all clients.

This position will also act as back up reception, as needed.

**What you offer**

**Some of the tasks of this **position** **include**:
**Dealer Trades**:

- Locate and purchase new vehicles under the direction of the sales manager
- Sell in-stock new vehicles to dealers requesting a specific vehicle.
- Transfer new vehicles online in Infostream.
- Sort stock files in numerical order for the accounting department.
- Perform order configuration changes to meet the needs of sold units.
- Assist in occasional “local” dealer trade pick-ups.
- Ensure that the sales manager has completed their monthly inventory control checks, to ensure that all vehicles have been accounted for, all files are located, all computer systems are updated and all keys are accounted for - in accordance with S.O.P’s - Inventory monthly checks.
- Answer and return incoming dealer trade calls assisting other dealers in the purchase of an in stock or in production vehicle.
- Contact other dealerships for in production/in stock units to buy
- Assist the management team in locating files, sorting files and putting files away in appropriate order.
- Order transport for out of town located vehicles.
- Cooperate with accounting department with regards to billing out and receiving trade cheques.
- Organize delivery files for commissioning.

**Fleet Coordination**:

- Effectively maintain and coordinate with fleet clients for ordered vehicles (update clients re: status)
- Efficiently prepare Bills of Sale for Fleet sales
- Coordinate the delivery of all fleet vehicles
- Responsible for all aspects of Licencing requirements for fleet vehicles
- Responsible for ensuring all ongoing contracts meet the requirements as outlined

**Other Responsibilities**:

- Act as back-up Reception as requested and required ensuring all aspects are completed with the utmost in quality assurance standards;
- Attend and actively participate in scheduled sales department meetings;
- Attend training /seminar courses as required;
- Promote every aspect of the Tony Graham Automotive Group;
- Adhere to the Vision, Mission and Values of the company;
- Stay informed of the company, industry and competitive changes and development.
- Produce quality work that evidences pride of workmanship.
- Ensure compliance with all policies and procedures of the Tony Graham Automotive Group.
- Ensure compliance with all applicable legislation (i.e., OMVIC guidelines and regulations, Employment Standards Act, Occupational Health and Safety Act, Human Rights Code)
- Any other duties, as assigned

**Education** **and Qualification**
- Completion of Secondary education
- Computer knowledge
- Customer focused

**Language**
- Fluent in English, oral and written
- Bilingualism, an asset

**Experience**
- Previous Dealership experience in a similar capacity
