Located in Ajax, Ontario, Deer Creek Golf Club offers 45 holes of pristine golf and hosts full-service golf tournaments, corporate meetings and galas and other special events that demand the best in service, quality, and value. Furthermore, Deer Creek Golf & Banquet Facility is the only facility in all of Ontario to host full-service golf tournaments for up to 400 players.
We are currently recruiting for Sales & Venue Coordinator to permanently join our Events team. Starting at $40,000 per annum, the Sales & Venue Coordinator provides an exceptional event client experience from initial inquiry to post event follow-up. The Venue Coordinator will be involved in the sales of Deer Creek Event Spaces and culinary experiences while using each client interaction as an opportunity to build a relationship and promote the venue.
**Responsibilities**:
- Primary responsibility will include the professional and efficient coordination and execution of special events.
- Assist with event sales (responding to and following up on event inquiries, generating accurate proposals, conducting venue tours, etc.)
- Ensure each event has a signed, accurate and complete contract - if there are revisions, ensure they are approved by the Sales and Events Manager
- Responsible for coordinating event tastings as required.
- Responsible for managing final details meetings with all applicable clients.
- Be present to oversee the execution of special events, when required.
- Create accurate floor plans and banquet event orders.
- Coordinate linen requirements for all functions.
- Ensure all information is up to date and accurate in various systems for Special events.
- Collect all deposit payments for special events.
- Ensure payment for social events are received 10 days prior to the event.
- Generate accurate invoices.
- Ensure confirmed guest counts and event details are accurate and received ten days prior for all events.
- Effectively communicate any late changes to event details with all stakeholders.
- Follow all Deer Creek Policies and procedures.
- Assist with the planning and execution of Deer Creek hosted events including idea generation and ticket sales.
- Network and generate relationships with new, current, and potential clients.
- Accommodate all special requests in a suitable manner if possible.
- Meet or exceed expectations outlined in the Policies and Procedures Manual.
- Produce professional and accurate internal and external communications at all times.
- Always maintain a professional appearance when working.
- Attend industry related trades shows as required.
- Other duties as requested by Deer Creek Management
Qualifications and Requirements
- Educational background in the hospitality or event planning industry
- Strong assets include wedding planning experience and knowledge of Caterease software
- Knowledge and passion for food, beverages, and luxury brand event venues
- Proven customer service skills
- Flexibility with scheduling and availability
- Ability to work effectively both independently and in a team environment.
- Excellent interpersonal and organizational skills
- Works well under pressure in a fast-paced environment
- Exceptional attention to detail
- Excellent verbal and written communication skills
- Effective problem solving abilities.
