Reporting to the Director of Specialized Markets, the Executive Assistant will collaborate closely with the VP of Specialized Markets to support and provide high-level administrative support to the VP, ensuring seamless operations and enabling the VP to focus on sales and strategic initiatives.

**Key responsabilities**:
Administrative Support to the VP of Specialized Markets:

- Provide comprehensive administrative support to the VP;
- Act as the primary point of contact between the VP and internal/external stakeholders;

Communication and Document Management:

- Draft, proofread, and edit correspondence, reports, presentations, and other business documents;
- Coordinate and prepare internal and external communications, including member and partner communications;
- Maintain and organize confidential files, records, client websites, and document cataloguing systems.

Meeting Organization and Follow-up:

- Prepare agendas, motions, materials, and meeting notes, ensuring follow-up on action items;
- Coordinate with internal and external partners to collect necessary information and documents for meetings.

Project and Workflow Management:

- Collaborate with other departments to facilitate project execution;
- Identify and implement opportunities to improve processes and workflows;
- Oversee materials and payments handled by the accounting department.

Operational and Problem-Solving Support:

- Address and resolve administrative and operational issues as they arise;
- Prepare and coordinate reports, presentations, and strategic documents.
- College diploma;
- Minimum of 3 years of administrative support experience, preferably in an executive setting;
- Strong analytical abilities;
- Punctuality, reliability and proactivity;
- Keen attention to detail;
- Excellent organizational skills, time-management skills and problem-solving skills;
- Capability to handle sensitive information;
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools;
- Capability to work independently as well as collaboratively within a team;
- Strong willingness to learn;
- Flexible and adaptable to changing priorities;
- Strong written and verbal communication skills.
