**Principales responsabilités**
- Servir de personne-ressource pour le bureau de Montréal, accueillir et fournir un soutien général à tous les visiteurs et employés, y compris s'acquitter des tâches de réceptionniste telles que, répondre au téléphone et acheminer les appels entrants et le courrier aux personnes appropriées.
- Gérer l'inventaire des fournitures de bureau et des denrées alimentaires, commander des fournitures supplémentaires au besoin et s'assurer que les coûts sont gérés de manière appropriée.
- S'assurer que les installations du bureau, y compris les salles de conférence, la cuisine et les zones d'approvisionnement, sont rangées et propres, y compris gérer le lave-vaisselle chaque jour.
- Communiquer et maintenir les normes et la propreté du bureau.
- Assurer le fonctionnement de tout l'équipement de bureau en planifiant l'entretien préventif et en coordonnant les réparations.
- Collaborer avec le directeur des ressources humaines et du responsable su bureau de Montréal l'intégration des nouveaux employés du bureau, en obtenant des badges, des porte-noms, en identifiant l'espace de bureau etc.
- Organiser et coordonner des événements internes et externes (ateliers, conférences, etc.), ce qui peut inclure la création d'échéanciers et de budgets, la coordination avec les fournisseurs et l'organisation de la restauration.
- Répondre aux questions des employés concernant la planification des salles de conférence ou d'autres problèmes de gestion de bureau.
- Coordonner et organiser les déplacements du personnel si nécessaire.
- Agir en tant que contact clé entre la gestion du bâtiment, l'entretien du bâtiment et le bureau OneSpan ; établir et maintenir une bonne relation de travail avec le personnel de l'immeuble.
- Assurer la liaison avec les fournisseurs, y compris les services de nettoyage, de restauration et de sécurité.
- Offrir un soutien et une assistance selon les besoins des projets spéciaux et/ou des événements

**Exigences**
- Diplôme d'étude dans un domaine pertinent
- Un minimum de 2 ans d'expérience pertinente dans un environnement corporatif.
- 2 ans d'expérience en tant que coordonnateur.trice de bureau ou adjoint.e administratif.ve avec une excellente expertise des responsabilités administrative reliées au bon fonctionnement de la vie dans un bureau.
- Expérience en prestation de service et/ou support à une clientèle interne tels que des employés et de travailler avec une variété de personnes et de rôles.
- Expérience en organisation et en planification d'événements dans un environnement en évolution rapide.

OneSpan is looking for a **FLUENTLY BILINGUAL OFFICE COORDINATOR / RECEPTIONIST for its on-site Montréal office**

**Key responsibilities**
- Serve as the point person for the Montreal office, greet and provide general support to all visitors and employees, including reception duties such as answering the phone and routing incoming calls and mail to the appropriate people.
- Managing the inventory of office supplies and snacks, ordering additional supplies as needed and ensuring that costs are appropriately managed.
- Ensure the office facilities including conference rooms, kitchen and supply areas are neat and clean including emptying dishwasher each morning.
- Communicate and maintain office standards and cleanliness.
- Ensure operation of all office equipment by scheduling preventive maintenance and coordinating any repairs.
- Partner with HR and site Director and assist with onboarding new Montreal office employees by obtaining badges, name tags, and identifying desk space.
- Organize and coordinate both in-house and out of office events (workshops, conferences, etc.), which may include creating timelines and budgets, coordinating with vendors, and organizing catering.
- Address employee queries regarding conference room scheduling or other office management issues.
- Coordinate and organize travel arrangements as necessary.
- Act as the key contact between building management, building maintenance and the OneSpan office; establish and maintain a good working relationship with the building personnel.
