**POSITION**:
Brivia Group is looking for a **Front Office Coordinator** that will ensure the function of daily activities in Montreal. This position is vital as you will be the **primary point of contact for employees and visitors**. You will ensure our operations run smoothly **by providing administrative support and maintaining the company office culture**.
**RESPONSIBILITIES**:
- **Greet and welcome guests,** directing them to the appropriate person and meeting room;
- **Answer**, **screen**, and **forward** calls;
- **Manage office supplies**, equipment, and inventory;
- **Assist departments with administrative tasks as required**.
- **Coordinate the reception** and delivery of mail, couriers, and packages;
- Ensure reception, common areas, and meeting rooms **are organized, presentable**, tidy, and ready to receive visitors at all times;
- Responsible for **enforcing CNESST guidelines** **at the head office **as necessary to ensure that health and safety policies are respected;
- **Manage contracts**, pricing, and relationships with office vendors, landlords, and service providers;
- **Responsible for developing and implementing policies regarding office use**, procedures, and standards, to be updated as necessary;
- **Organize meetings and appointments as requested by management**, and update calendars;
- **Coordinate with the instruction** from the human resources department potential expansion and relocation, update floor plans and order furniture;
- **Manage invoices and receipts related to offices supplies and furniture in **collaboration with the accounting department for expenses;
- **Collaborate with the Social Committee for planning and executing the office events and meetings**, overseeing catering and other deliveries;
- Assist HR and IT departments with **onboarding and offboarding tasks**.
**REQUIREMENTS**:
- **Diploma of College Studies (DEC) in Secretariat**, AEC in Office Techniques, or other related field;
- **Minimum three (3) years of work experience as a Receptionist**, Front Office Coordinator or a similar role;
- Proficiency in **Microsoft Office Suite** (Word and Excel);
- **Hands-on experience with office equipment** (e.g. fax machines and printers);
- **Professional presentation** & attitude;
- S**olid written and verbal communication skills** in French and English;
- Ability to be resourceful and **proactive when issues arise**;
- Excellent organizational skills;
