Join our growing team We are seeking an experienced **Office Administrator** to provide administrative support in our busy Collingwood office, located at 10126 Highway 26 East, Unit #2. **Wage**: $48,000 - $68,000 per annum (Some flexibility based on the level of experience)

This is a full-time position working 37.5 hours per week, Monday to Friday, 8:30 am-4:30 pm, and overtime, as required.

**Responsibilities Include**:

- Providing administrative support to the Managing Director, including but not limited to scheduling meetings, responding to inquiries on her behalf, calendar management, etc.
- Clerical support to all staff
- Managing and maintaining all accounts receivables for the Firm
- Opening and closing the office, answering, and directing phone calls on behalf of the firm as needed from clients, vendors, and suppliers
- Promptly advising management of any issue requiring resolution
- Compiling client information received, including scanning of paper documents, administering questionnaires
- Putting together completed reports and tax returns for distribution to clients
- Ensuring outbound information to clients and external parties is complete and adheres to Firm policy
- Assisting in the preparation of regularly scheduled reports
- Managing and maintaining the office’s virtual filing system
- Managing the office workflow in partnership with the Manager of Accounting and Tax
- Providing support to clients directly where appropriate
- Exploring administrative cost savings opportunities and providing strategies for implementation; analyze and review costs and expenses on an ongoing basis, and provide input on improving and enhancing organizational processes
- Managing special projects as required, including providing creative input for the Firm’s newsletter
- Providing administrative support with Payroll processing
- General office administrative duties such as preparing for company meetings, taking minutes in meetings, and maintaining office supplies
- Daily check-ins
- Other ad hoc administrative support as needed
- A minimum of 2 years of office administration/management experience
- A minimum of 2 years of bookkeeping experience using QuickBooks Desktop, QuickBooks Online, Sage 50 and/or AgExpert
- Payroll experience would be considered a strong asset
- Familiarity with Taxprep, Profile and/or CaseWare would be considered a strong asset
- Ability to act with integrity, professionalism, and confidentiality
