MacEwan University is seeking Administrative Assistants (Administrative Support III) for 3 full-time continuing opportunities with our University Relations department. Reporting to the leader of your assigned client within University Relations (Alumni and Development, Communications, Marketing and Web Services, or Community and Government Relations), you’ll provide comprehensive administrative and operational support to your team and the broader University Relations department.

Key responsibilities include:

- Formatting, proofreading, editing, and maintaining documents;
- Creating and updating department forms and templates, including digitalizing documents;
- Maintaining paper and electronic filing systems and supporting records management and retention initiatives;
- Maintaining, gathering, and presenting data through databases, spreadsheets, or presentation materials;
- Composing routine correspondence for the department;
- Providing meeting support and facilitation;
- Supporting departmental initiatives and events;
- Assisting with human resources processes and submissions;
- Facilitating department asset and inventory management;
- Communicating with suppliers, departments, and external vendors to obtain quotes and assisting with purchase requisitions and expense reconciliation; and
- Coordinating, supporting, and maintaining financial and budgeting processes.

**SKILLS**:
You will have:

- Excellent time management, organizational and prioritization skills;
- The ability to take initiative, work independently and manage multiple projects and priorities with mínimal supervision;
- Strong proofreading and editing skills;
- The ability to create professional reports and correspondence;
- Effective problem-solving skills, with a keen attention to detail;
- The ability to remain adaptable to changing priorities;
- Strong verbal, written and interpersonal communication skills with a professional and friendly approach;
- The ability to work with confidential information and to exercise judgement and discretion; and
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams), Adobe Professional, and SharePoint.

**QUALIFICATIONS**:

- A minimum of a diploma in office/business administration or a related field.
- A minimum of 3 years’ experience in an administrative support role, with experience in meeting coordination, financial coordination, and records management.
- Experience working in a post-secondary environment is considered an asset.
- An equivalent combination of education and experience may be considered.
