ABOUT THE POSITION:
The Administrative Assistant will collaborate with the Corporate Administrative team to facilitate efficient departmental operations by coordinating and supporting administrative activities. This position will also handle travel logistics, and event coordination. In addition, the Administrative Assistant will be trained in various non-specialized areas to offer support during busy periods or staff shortages.

DUTIES:
General Duties:

- Manage and process accounts receivable, ensuring timely and accurate recording of vendor invoices and payment approvals in accordance with company policies
- Entering and verifying information across multiple systems
- Maintain the filing systems, record keeping and the distribution of mail
- Answer all incoming phone calls and redirecting the call to the appropriate people
- Assist with keeping office supplies replenished and maintain the front desk in a neat and orderly fashion.
- Maintain excellent relationship with vendors and suppliers to ensure that all goods and services are of the highest quality and that they are delivered on time and on budget
- Coordinate and assist office teams with the receipt and delivery of packages, including managing shipments via UPS
- Assist with ongoing projects as required
- Other duties as deemed necessary by Management

ABOUT THE IDEAL CANDIDATE:

- A degree or college diploma in a relevant field is an asset.
- Previous experience as an Administrative Assistant or in similar roles is preferred.
- Strong organizational and planning skills, with attention to detail.
- Good interpersonal and communication skills, including the ability to present ideas clearly.
- Familiarity with office management procedures and basic accounting principles.
- Effective time management and the ability to prioritize tasks in a busy environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other common office software.
- A positive attitude and willingness to learn, with a flexible approach to tasks.
