We are looking for a motivated **Administrative Assistant** to join our team and support our day-to-day operations, ensuring seamless and efficient project execution.
**Job Summary**:
The **Administrative Assistant** will play a key role in supporting Diplomat Consulting's internal operations, focusing on scheduling, website management, document preparation, and other essential administrative tasks. This position is ideal for a proactive, detail-oriented individual with experience in Google Workspace, WordPress, Canva, and AI tools like ChatGPT.
**Responsibilities**:
**Scheduling & Coordination**
- Schedule and organize meetings, conference calls, and appointments for team members and clients
- Coordinate calendars and proactively address scheduling conflict
**Digital & Document Management**
- Organize and maintain electronic files and records to ensure easy access and efficient retrieval
- Prepare and edit correspondence, reports, and presentations as needed
**Website Management**
- Update and maintain the company website (WordPress) with new content, ensuring information is current and accurately reflects our brand
**Marketing & Content Creation**
- Assist with content creation using Canva, including social media graphics, presentation slides, and promotional materials
**Communication & Client Interaction**
- Assist in the preparation of client-facing documents and presentations
**General Office Administration**
- Perform other general administrative tasks, including expense reporting, supply ordering, and travel arrangement coordination
**Qualifications**:
- **Experience** in administrative support or a similar role, preferably in a consulting or professional services environment
- **Proficiency** in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets) and Canva
- **Familiarity with WordPress** for basic website updates and content management
- **Experience with ChatGPT** or other AI tools to assist in generating ideas, drafting content, and optimizing workflows
- **Excellent organizational and multitasking skills**:

- Ability to work independently with mínimal supervision and as part of a team
