Account Manager

The account manager is responsible in providing fast and professional customer service solutions. He/she provides ongoing general and administrative support to the account managers team.
**PRIMARY FUNCTIONS**
- Assist the Senior Account Managers with day-to day administration initiatives for the large accounts and overall portfolio management.
- Update internal databases (Quotation Spreadsheet, Master Inspection Schedule).
- Create invoices for clients using Maestro Database program (annual inspections, installations, and deficiency repairs).
- Prepare, file, retrieve and renew client quotations/sales proposals with the guidance of the Account Managers for annual inspections, installations, and deficiency repairs required.
- Scheduling of building walkthroughs for inspection quotations when required.
- Order stock required for technicians and arrange for pick up for quoted job/deficiency repairs.
- Maintain PO system report to ensure POs are provided and approve invoices for materials ordered/service rendered; cross referencing of POs and amounts billed vs amounts invoiced.
- Run weekly reports from Maestro Database (List of Hours, Open Orders)
- Assist Service Coordinator with verify and clearing non completed calls/Temp calls on a weekly basis.
- Managing client database and updating client account records
- Follow up with sub-contractors invoices.
- Mailing of fire alarm paraphernalia (Fire Log Books, extinguisher tags, panel labels)
- Other related tasks.
**EXPERIENCE, COMPENTENCIES AND APTITUDES**
- Highschool Diploma
- Experience in fire alarm industry a bonus
- At least 1 year of coordinator experience in an office setting
- Excellent communication skills, both written and verbal
- Highly organized while multi tasking is a must
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Attention to detail, thoroughness and accuracy in carrying out work and service reports
- Excellent interpersonal skills and customer relation skills
- Very effective organizational skills
- Flexibility, resourcefulness
- Ability to work under pressure
- Be solution-oriented
- Languages: competent in English and French, written and oral.
