**RESPONSIBILITIES**:
Reporting directly to the Director of Education and Secretary Treasurer, the Executive Assistant to the Director of Education and Recording Secretary is responsible for:
providing administrative, organizational and secretarial support services to the Director, the Board of Trustees, and various committees;
drafting and ensuring that all correspondence for the signature of the Director is accurate and reflects approved Board polices and procedures, where appropriate;
ensuring the security of highly sensitive and confidential matters;
coordinating, directing and supervising the work of the support staff of the Director’s Office (one Secretary and one Receptionist/Clerk-typist) including special projects requested by other Supervisory Officers, Principals, SPAT’s, etc.;
providing input on the performance evaluation of the secretarial/clerical staff assigned to the Director’s office;
liaising between the Director’s Office and internal staff, and personnel or agencies included but not exclusive to the District Manager and Liaison Officer for the Board, Ministry of Education and Training, School Boards, Trustees’ and Teacher Associations, municipal jurisdictions, media, ratepayers, parents, and public;
preparing, distributing agenda and minutes of and acting as Recording Secretary for all scheduled Board and Special Board Meetings, the Executive Council Meetings, and the Administrative Council Meetings;
coordinating, making the necessary arrangements, and where appropriate, acting as hostess for various Board functions, such as, Inaugural Board Meeting, Retirement Dinner, Memorial Mass, etc.;
promoting the professional growth and leadership training and development of self and staff;
updating and distributing the Principals’ Manual on an annual basis;
processing petty cash as it relates to some departments within the Administration Office; and

any additional tasks which can and should be assumed by the Executive Assistant to the Chief Executive Officer and Secretary Treasurer.

a two year Community College Diploma in a related field, or equivalent education and training;
a minimum of three to five years experience as an executive or confidential secretary;
a composed, discreet and professional manner; excellent organizational and time management skills, and the ability to perform multi-tasks under pressure and to meet deadlines with a minimum amount of direction;
superior secretarial and inter-personal skills, and the ability to communicate in both oral and written English;
the use of independent judgment and quick response/action for situations which may arise in the absence of the Director;
strong mathematical, analytical, problem solving and research skills;
a demonstrated proficiency in Excel, Word and Power Point is mandatory;
a commitment to continuing education and attending related Board sponsored courses/seminars is required.
