**Why you’ll love this role**:
The Executive Assistant provides support and manages the administrative functions. The incumbent is guided by defined procedural constraints and works under the broad supervision of a Senior/Executive Vice President.
**What you’ll be working on**:
- Administer and ensure regular updates are provided for projects and processes on an on-going and ad hoc basis within the functional area- Provides support to specific members of the functional area to assist in the achievement of goals, objectives, and efficient operations- Ensures the effective communication of information to key internal stakeholders- Assemble and analyze highly confidential information from multiple sources, and prepare reports, agendas, communications, presentations and other documentation- Collaborate with project leads for status of work/projects; provide status updates to Senior Management- Coordinate account reconciliation including review of expense claims and ensure payment of invoices- Act as the first line of support for internal and external stakeholders; coordinate, prioritize and respond to mail, telephone and electronic enquiries and/or forward to the appropriate person or department- Manage schedule priorities through effective calendar management; coordinate internal and external meetings; manage travel booking and meeting arrangement logistics- Organize and maintain electronic and/or paper file management retrieval systems- Perform transcription duties of a confidential, sensitive, and/or technical nature- May administer, coordinate or support various programs and projects within the business unit
**What you’ll need to have**:
- 5+ years progressive experience managing the activity and schedules at the Senior Executive level- Experience communicating with a broad range of individuals in all levels of the organization- Advanced knowledge of word processing, spreadsheets, databases, and presentation software- Familiarity with various document management processes depending on functional area supported
- Completion of a community college diploma in business administration- Well-developed communication, negotiation and influence skills- Ability to think logically, analyze and solve problems- Clear writing, keyboarding, editing and proof-reading skills-
- Ability to organize/schedule both people and information- Tact, diplomacy and the ability to handle confidential information with a high level of discretion- Ability to develop and maintain effective working relationships
Working Conditions- Office environment- Frequent interruptions- Prolonged periods of sitting while using a computer and/or telephone- Prolonged repetitive actions (i.e. keyboarding, transcription)- Overtime and business hours may vary based on service requirements
