**The Opportunity**
Due to our continuous growth, we are currently seeking a reliable, highly organized and self-motivated individual to join our team as an administrative assistant.
The administrative assistant will provide high-level administrative support to our group of professional financial advisors and will be responsible for the following:
- Conducting client intake and opening client files;
- Processing large volumes of documents and storing and organizing client files (paper and electronic);
- Drafting correspondence and preparing, scanning and copying various types of documentation;
- Inputting, extracting and analyzing data from different online platforms;
- Receiving client phone calls and directing inquiries appropriately;
- Booking client meetings, maintaining a schedule, and greeting clients/guests as they enter the office;
- Maintaining front desk/reception area in a tidy and professional manner;
- Effectively communicating with clients, financial institutions, and other entities;
- Managing and prioritizing conflicting deadlines;
- Assisting with marketing advertisements and promotions;
- Other duties, as required.
**What are we looking for?**
- Previous experience providing administrative support and/or front desk receptionist duties preferred;
- Graduate of a business administration, accounting or other relevant program considered an asset;
- Experience working in the finance industry and familiarity with financial terms and processes considered an asset;
- Computer skills and ability to learn new software quickly;
- Extremely detail-oriented and superior organizational skills;
- Excellent time management skills and ability to handle and respond to multiple changing priorities at one time;
- Passionate about helping others and a proven ability to provide exceptional customer service;
- Critical thinker with demonstrated problem-solving skills, strong communication skills (verbal and written) and superb follow-through;
- Understands the importance of confidentiality and exercises discretion to ensure confidential information is handled appropriately;
- Has a high level of trust and integrity;
- Takes initiative and able to work independently with mínimal supervision as well as be a cooperative member of a team;
- Quick learner with a demonstrated ability to multi-task and work in a fast-paced environment;
- Known for a positive attitude, exceptional interpersonal skills and commitment to excellence.
