**About the Role**
The _Administrative Assistant (Events) _at Arrow Wood Games is a part-time role supporting daily operational tasks and overall coordination of event logistics. This role is primarily a behind-the-scenes administrative role where most of your time will be spent on detailed computer work and work that supports our Event Hosts who are delivering the events. A secondary part of the role requires that you be physically present in store (for some events) to help set things up, to ensure that events are kicked off smoothly, and that staff hosting the events have what they need to run a successful event.
**What you’ll do in this role**:
- Complete administrative tasks related to events, including things like setting up events in our Point of Sale system, posting events to various local websites, data entry for waivers, putting together attendance sheets
- Manage registrations, ticketing, and RSVPs for events
- Coordinate logistics for events to ensure they run smoothly for the Event Host, including things like registration, plans for set up/take down, staffing
- Source, recommend, and purchase materials and equipment needed for events (e.g., prizes, food, decor)
- Assist with marketing for events, ensuring timely and engaging promotions are planned
- Maintain accurate records of event-related expenses and budgets
- Make recommendations for process improvements
**Who we think you are**:
- Proficient in Google Workspace (Docs, Sheets, Mail, Calendar), and quick to learn new technology
- Self-motivated with a strong work ethic, and the ability to work with mínimal supervision (remotely and in-store)
- Highly accurate with data entry, documentation, and enjoy a good task list
- Able to manage multiple tasks and prioritize to ensure deadlines are met
- Natural curiosity, strong critical thinking, and extremely resourceful, with a history of leaving things better than you found them
- Flexible with handling ambiguity, and adaptable to changing needs and quick pivots as we learn
- Strong verbal and written communication
- Available for in-store events as required
**Preferred, but not required**:
- Experience in an administrative or event coordination role, or equivalent
- Experience supporting or managing event logistics, including set-up, registrations, and post-event tracking.
- Experience using scheduling, registration, or point of sale systems
- Basic experience with a graphic design tool like Canva
- Some knowledge of tabletop games
**Other details**:
- Compensation: $18-23/hour, plus some other game store perks
- This is a part-time role that requires approximately 32 hours per **month** (approximately 8 hours per week). The work is not always evenly distributed. Some weeks may be busier than others.
- There are some non-flexible times when you must be at the store for in-person coordination. These hours vary depending on what events are happening, but will be known well in advance. The bulk of the work can be done on your own schedule, as long as you are meeting deadlines.
- We are also hiring for other roles at Arrow Wood Games. It is possible to combine more than one position to create a single position with more hours.
