**Job Overview**:
Join our dynamic team as an Administrative Assistant and play a key role in our operation of FOIP Unit initiatives. Here you will engage with important processes that ensure the efficiency and accuracy of requests under the Freedom of Information and Protection of Privacy (FOIP) Act. Your organizational and interpersonal skills will shine as you support the meticulous handling of information requests and related administrative duties.

**Key Responsibilities**:

- Efficiently monitor and manage all requests received via hard copy and the FOIP System Public Portal.
- Draft correspondence for various stages of the FOIP process, including acknowledgment letters and closure notifications.
- Verify and ensure accuracy of all request-related correspondence and documentation.
- Collaborate with the FOIP Coordinator to assign requests to appropriate advisors.
- Create and maintain electronic files for all information access requests, assisting with record searches and document conversions.
- Manage financial transactions related to fees and refunds in compliance with the Financial Administration Act.
- Assist in enhancing office culture and uphold administrative policies by responding to general FOIP inquiries and managing office correspondence.

**Requirements**:
**Must-Have Education**:

- High School Diploma or GED

**Must-Have Experience**:

- At least 1 year in an Information Management environment handling records/documents.
- At least 2 years of experience using the Microsoft Office Suite.

**Nice-to-Have Education**:

- Post-secondary education in office administration (degrees, diplomas, certificates accepted).

**Nice-to-Have Experience**:

- 1 year of experience in a public sector organization.
- Knowledge of information management concepts, privacy, and security issues related to FOIP.
- 2 years of relevant experience in a similar administrative role, demonstrating applicable skills.

**Additional Details**:

- This is a net new role requiring a standard background check before commencement.
- Mandatory training after hire will include FOIP Act essentials, cybersecurity, and more.
- Interviews are anticipated to start between October 14th and 18th.
