**Role Overview**
Camp Scugog is seeking a **highly organized, community-oriented, and proactive** individual to join our team as **Programs & Communications Coordinator**. This pivotal role supports the coordination and smooth operation of all three of Camp Scugog’s core offerings, with a strong emphasis on **camper registration and program administration**.
You’ll be the primary point of contact for many families, agencies, schools, and community partners, and play a key role in keeping our systems running behind the scenes. This position is ideal for someone who thrives in people-centered environments and enjoys managing logistics, communication, and data with care.

**Key ResponsibilitiesCamper Registration & Program Coordination (40%)**
- Manage camper registration for Overnight Summer Camp, communicating with families, agencies, and social workers to gather required information and documents.
- Organize and track camper forms, medical information, permissions, and attendance across all programs.
- Coordinate camp transportation logistics, including booking buses and determining pickup/drop-off points.
- Support on-site logistics during summer camp season (e.g., assisting with pre-camp meetings, registration days, staff prep).
- Coordinate bookings and scheduling for Leadership Centre retreats and Scugog Nature School, working with educators, schools, and community partners.
- Assist with elements of program development and customization for Leadership Centre and Nature School groups.
- Act as the main point of contact for all program-related inquiries from families, schools, and agencies.
**Office Administration (20%)**
- Prepare and process invoices and receipts using Nuage.
- Manage deposits (online or in-person).
- Maintain accurate, organized digital and physical filing systems (e.g., camper records, staff forms).
- Track and send annual tax receipts for families and donors.
- Update and maintain databases for registrations, donors, and relevant program data.
**Social Media & Communications (15%)**
- Manage Camp Scugog’s presence across Instagram, Facebook, X/Twitter, and LinkedIn.
- Develop and schedule content that reflects camp life, values, and fundraising priorities.
- Monitor messages and comments and support community engagement.
**Fundraising & Grant Support (25%)**
- **Provide administrative support for fundraising initiatives and campaigns (e.g., managing guest lists, organizing event logistics, mailing thank-you letters).**:
- **Maintain donor records and ensure timely follow-up for tax receipts and acknowledgments.**:
**Qualifications & Skills**
- Strong administrative and organizational skills, with excellent attention to detail.
- Friendly and professional communication style (both written and verbal).
- Ability to work independently and manage multiple responsibilities effectively.
- Experience using databases or CRM platforms (or willingness to learn).
- Proficient with social media platforms and scheduling tools.
- Experience in nonprofit, camp, or school environments is a strong asset.
- Familiarity with trauma-informed or equity-based programming approaches is an asset.

**Working Conditions**
- **On-site (in-office) from May to October at Camp Scugog in Nestleton, ON. A private cabin on-site is available and recommended for the summer season to support the smooth running of programs. However, commuting is also an option for those within a reasonable distance.**:
- **Remote from November to April, with regular online meetings and ongoing administrative responsibilities.**
