**Overview / General Purpose**:
Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our organization.

The executive administrative assistant will play a key role in supporting Function Leads in responding to client queries, running and distributing reports, system clean up and updates, and other administrative supports. The executive administrative assistant will be responsible for delivering the highest quality of service efficiently, accurately and on time.

**Primary Duties and Responsibilities**:

- Prepare client and management reports according to schedule
- Participate in meetings and special projects with multiple departments, as required
- Provide administrative support to the team, including preparing general correspondence, making travel arrangements, managing schedules, maintaining an organized and bring forward system for the files
- Maintain tracking systems to ensure deadlines are met
- Act as first point of contact in researching/responding to routine enquiries and requests

**Required Competencies**:

- Relevant administrative experience preferably in a busy office
- Prior experience in DM, HR, Wellness, and/or EAP considered an asset
- Critical thinking skills, analytical reasoning
- High sense of urgency and prioritization skills
- Excellent customer service and communication skills (both written and verbal)
- Able to work as a key member of a team as well as independently
- Ability to work within set procedure and policy to ensure the privacy protocols and standard operating procedures are adhered to at all times
- Master of first impressions - positive demeanor and attitude
- Solid working knowledge of Microsoft Word, Excel, PowerPoint
- Must be able to generate highly professional reports
- Fluency in English and French is an asset

**Working Conditions**:

- Accountable to assigned Function Lead
- Self-managed company, accountable to KPM’s and goals
