**Overview**

**The Fishman group is looking to hire a motivated real estate administrative assistant. **The Administrative Assistant (AA) assists the Team Leader with office administrative tasks, mostly related to processing real estate contracts but also including marketing administration. The AA helps clients have a smooth and hassle-free transaction where they receive excellent and professional communication. The AA helps keep company records and reports complete and up-to-date. The AA manages the contacts in the company database (CRM) to keep them accurate and ready for marketing efforts.

**Position Requirements**
- Friendly and professional communication skills on the phone, in person, and in writing.
- A pleasant phone voice.
- Good spelling and good grammar.
- Confidence communicating by text-message and instant messenger.
- Methodical and diligent at completing required tasks.
- Confidence using a computer to complete tasks in web-based programs.
- Willingness to grow and learn. Confidence to ask questions and get help when needed.
- Internet access and a smart-phone.

**Responsibilities**

Transaction Management
- Communicate with Clients about transaction details.
- Be a point of contact with Cooperating Agents, Lenders, Lawyers, and other parties to keep the transaction flowing smoothly from contract execution to closing.
- Review purchase contracts for accuracy and completion.
- Keep company transaction deadline calendar up-to-date.
- Provide transaction documents to the necessary parties.
- Assist in ordering and scheduling inspections and appraisals.
- Follow-up on completion of inspections and appraisals
- Follow company transaction processing checklists.
- Suggest improvements to company processes and checklists.
- Handle miscellaneous details as needed.
- All other duties as assigned by Team Leader.

Listing Coordination
- Communicate with Seller as needed to ensure a smooth property listing process after Team Leader (TL) has “won” the listing.
- Order up Sign
- Organize Photos
- Enter the property into the MLS with all required information, preparing it for TL approval.
- Organize showings
- Keep company showing service information up-to-date.
- Use company checklists to ensure that all steps to make a new listing “live” are completed.
- All other duties as assigned by TL.

Marketing Administration
- Keep Listing presentation folders up to date and ready for use.
- Keep Buyer presentation folders up to date and ready for use.
- Uploading photos, products etc to Google.
- Ensure review is collected from all clients.
- Post all videos/ photos across all socials.
- Create Social media posts
- All other duties as assigned by TL.

CRM Management
- Regularly review and consolidate duplicate records.
- Correctly categorize past clients and lead sources.
- All other duties as assigned by TL.

**Salary**: $18.00-$20.00 per hour

Additional pay:

- Bonus pay
