**Location**
**Position Overview**
This position is responsible for the scheduling of maintenance services, the purchase, timely arrival and invoicing of all parts or components required for fleet repairs and maintenance and related services. Scope of fleet includes more than 400 units consisting of cars, trucks, heavy trucks, heavy equipment, tractors, mowers, and small equipment.
**Responsibilities**
The Parts and Service Coordinator is responsible to:
- Maintain fleet databases including updating, creating and editing reports and minor customization of the various programs when appropriate.
- Process work orders for the fleet, including labour, parts, contracted work, rental services and warranties.
- Purchase and maintain adequate inventory of parts, components, materials, tools and protective clothing.
- Maintain fuel inventory of multiple product types. Oversee computerized fuel dispensing system as well as troubleshoot system, operator errors and any fuel reporting requirements.
- Schedule external repairs and services, such as tires, alignments, spring work, bodywork and warranty etc.
- Maintain inventory and schedule repair and preventative maintenance of large shop tools, hoists, radios and other equipment.
- Update fleet service preventative maintenance records and maintain files.
- Research market for the procurement of material for stock and non-stock items by quotation.
- Expedite problem orders and delayed shipments for stock and non-stock items. Responsible for control and approval of invoices for stock and non-stock as well as services.
- Update and maintain WHMIS inventory system for the vehicle maintenance unit.
- Perform accountability functions daily, monthly and yearly, including performing fuel dips and stock inventory, etc.
- Responsible for yearly renewal of license stickers, replacement ownerships and related licensing activities.
- Must be able to respond immediately to emergency situations, as required, such as winter control and related situations

A valid G driver’s licence is required with an acceptable driver’s abstract (no more than three (3) driving related convictions and an accumulation of no more than three (3) demerit points in the previous three (3) years prior to the date of hire).
