**Role impact**:
To provide Reception and Administrative support under the guidance of the Supervisor, Facility Services, Operations Services, this role will be responsible for supporting the day-to-day operations of reception, mailroom and facility services, for Cadillac Fairview’s Head Office located at 20 Queen Street West.

**What you will deliver**:
**Reception Services**

Responsible to provide seamless reception duties and back-filling during scheduled breaks, planned and unplanned absences. Duties include the following:

- Answers all telephone calls and transfer to the appropriate department or individuals, including taking messages
- Greet and direct all visitors to the office in a timely, courteous and professional manner
- Respond to service requests from the head office employees and inquiries from the general public, guests and internal customers, maintain boardroom bookings and performing database management
- Handling incoming mail and courier packages, and ensure timely and accurate distribution of correspondence
- Maintaining appearance and upkeep of main reception area.

**Mailroom Services**

Coverage for mail services will include the following:

- Distribution of daily internal mail.
- Responsible to provide seamless mailroom services during planned and unplanned absences. Including Handling, receiving, sorting, routing, controlling and distribution of mail and courier services. Follows corporate standards, to maintain and distribute general office supply stock, including paper for multifunction print devices

**Facility & Office Services**
- Provide and maintain courteous, professional and efficient service to internal and external clients by responding to requests for services and information in a timely manner; redirecting inquiries beyond own scope of expertise in order to maintain good levels of customer service.
- Support the Facility Services team for maintenance and repairs of essential services work including regularly scheduled and ad hoc requests. Conduct regular space reviews.
- Ensure a high level of service to all departments and respond appropriately to emergencies or urgent issues as they arise.
- Daily checks of meeting rooms to ensure rooms are ready to conduct business (reset chairs, clear off whiteboards, restock supplies).
- Daily checks of each kitchen, lounge and executive washroom, to ensure consistent distribution of stocked supplies: including dishware, flatware, paper products, cleaning supplies, coffee supplies, water filters, light bulbs, special order items, etc.
- Report deficiencies to team and follow up to confirm resolution.

**Administration**
- Complete administrative duties and prepare reports as directed
- Perform other duties as assigned by management.

- Grade 12 or equivalent
- Minimum 1 - 2 years’ experience related work experience and must exhibit professional and polished telephone manner
- High level of attention to detail, well organized and ability to prioritize
- Flexibility to work longer hours
