**Job Overview**
The Program Assistant of Community Based Care for Newcomer Children (CBCNC) is responsible for supporting the successful operation of the program while ensuring all contractual obligations with clients and funders are met or exceeded in the context of CFN’s vision and workplace values. This role needs to provide administrative support in responding to inquiries, enrollment, attendance follow-up, waitlist management, accurate data entry, and database management. The Program Assistant also needs to collaborate with CBCNC team members, other CFN staff, and external partners to ensure clients have access to licensed childcare providers while attending LINC classes and connect them to other relevant resources to meet clients’ needs. This role will report to the Coordinator of the CBCNC Program.

**Key Responsibilities**
**1. Client Settlement and Integration**:
- Efficiently conducts client intake and assessments with care, ensuring eligibility for the CBCNC program in accordance with established procedures.
KRA (Key Responsibility Area):
Collaborate with team members to achieve the following goals:
- Children participants are placed in private care every month before the end of the 1st week of each month.
- 90% of participants report understanding of and satisfaction with the service.80% of participants use the service for at least 3 months.
- Assists clients in making informed decisions about childcare options tailored to their needs.
- Helps clients understand how to maintain their eligibility for the CBCNC program and subsidies and follow daycare providers' intake and withdrawal policies.
- Addresses client concerns and inquiries promptly, ensuring resolutions are provided professionally.
- Assesses clients’ settlement needs, provide consistent support, and make appropriate referrals to other community resources or services to support clients as needed.
**2. Administration**:
- Ensures accurate data entry and effective database and file management.

- Assist in client registration, enrollment, and cancellation processes. o Assist in distributing payments to childcare providers.
**3. Communications**:
- Maintains professional, courteous, and effective communication with clients, childcare providers, and schools.
- Proactively addresses issues related to attendance, withdrawal, or any other concerns that may arise.
- Assists in interpretation and translation services for clients as needed. o Participation in outreach activities is required as needed.
**Key Qualifications**
- A minimum college diploma in office administration or a related field.
- Excellent computer skills, particularly in Microsoft Office Suite and Excel. o Experience and cultural sensitivity related to multicultural service delivery.
- Knowledge of FOIP regulations and a commitment to maintaining confidentiality. o Fluency in an additional language is considered an asset.
- Strong communication skills, including the ability to listen effectively to the needs of clients and colleagues, as well as communicate clearly and consistently, both orally and in writing, to address those needs.
- A valid Class 5 Driver's License and access to a reliable vehicle are advantageous.
