**About the Role**

As an Office Manager, you’ll be the backbone of our office operations, directly supporting the Owner and management team while managing key aspects of invoicing, payroll, client communication, and reporting.

**Key Responsibilities**
- **Invoice and Payment Management**: Prepare and send invoices, ensure payments are collected, and provide updates on pending payments. Send reminders as necessary.
- **Client Communication**: Send maintenance reports to property management after each visit to keep clients informed.
- **Content Creation**: Write and publish two blogs weekly to enhance the company’s online presence.
- **Payroll Processing**: Process timesheets and payroll, verifying with team members before final confirmation by the manager.
- **Financial Tracking**: Track expenses and payments, assign them to designated projects, and monitor profitability.
- **Meetings and Strategy**: Conduct weekly meetings with the Owner to review performance and identify improvements.
- **Administrative Support**: Handle daily tasks, respond to urgent manager requests, and answer client calls. Track lead sources to identify client origins.
- **Process Improvement**: Develop new documentation processes and workflows to improve operational efficiency.
- **Social Media Assistance**: Support posting on social media platforms to increase brand visibility.
- **Proposal Preparation**: Assist in preparing proposals and quotations for prospective clients.

**Qualifications**
- Proven experience in office management, administrative roles, or a similar capacity.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with accounting software is an asset.
- Exceptional written and verbal communication skills.
- Attention to detail with strong problem-solving skills.
- Familiarity with landscaping or construction industries is an advantage but not required.
- Ability to take initiative, work independently, and collaborate with a team.

**Compensation**
- **Salary Range**: $1600 Bi Weekly

Pay: $3,200.00 per month

Flexible language requirement:

- French not required

Schedule:

- Monday to Friday

**Education**:

- Secondary School (preferred)

**Experience**:

- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)
