Assistant Operations Manager

**Job Summary**:
The Assistant Operations Manager in a security services company plays a critical role in supporting the operational functions of security personnel and ensuring the smooth running of security operations. This position involves overseeing security staff, coordinating schedules, ensuring compliance with safety regulations, and ensuring that clients receive high-quality security services. The Assistant Operations Manager will work closely with the Operations Manager to improve operational efficiency, manage staff performance, and address any operational challenges that arise.
**Key Responsibilities**:
- **Security Operations Support**:
- Assist in managing day-to-day security operations, including the deployment and scheduling of security guards at client locations.
- Support the Operations Manager in implementing and ensuring adherence to security policies and procedures.
- Monitor security operations at client sites to ensure compliance with service agreements and industry standards.
- Track security incidents and assist with the coordination of emergency response when necessary.
- **Team Coordination & Management**:
- Supervise security personnel, providing leadership, guidance, and support as needed.
- Coordinate the staffing of security personnel, ensuring proper coverage for shifts and client needs.
- Assist in recruitment, training, and onboarding of new security staff.
- Conduct regular performance reviews and assist with staff development and training programs.
- Ensure that security officers maintain professional conduct and uphold the company’s values and client requirements.
- **Client Relationship & Service Quality**:
- Act as a liaison between clients and security personnel, ensuring that service expectations are met and any concerns are addressed promptly.
- Respond to client inquiries and resolve operational issues that may arise.
- Ensure that reports, incident logs, and documentation are accurate, complete, and submitted in a timely manner.
- Monitor customer feedback and implement improvements to service delivery where necessary.
- **Compliance & Safety**:
- Ensure that all security operations comply with local, state, and federal regulations, as well as internal company policies.
- Ensure that security personnel follow safety protocols and report any safety hazards or violations.
- Assist in conducting regular safety audits and assessments of security procedures at client sites.
- Monitor guard certifications and ensure that all required licenses and training are up to date.
- **Operational Efficiency & Process Improvement**:
- Identify opportunities to improve the efficiency and effectiveness of security operations.
- Assist with the implementation of best practices, technology solutions, and operational processes that enhance service delivery and reduce costs.
- Assist in scheduling and coordinating security patrols, monitoring security technology, and ensuring operational resources are optimally used.
- **Incident Management & Reporting**:
- Oversee the reporting and documentation of incidents, accidents, or breaches in security.
- Work closely with the Operations Manager to analyze security data, identify trends, and suggest corrective actions when needed.
- Help maintain accurate and up-to-date incident logs and ensure timely follow-up and reporting to clients and management.
- **Administrative Support**:
- Assist with the preparation of reports, including weekly/monthly operational performance reviews.
- Help manage payroll, timekeeping, and scheduling for security personnel.
- Ensure proper documentation of staff training, certifications, and performance records.
- Support billing and invoicing processes related to security services.
- **Emergency Response & Crisis Management**:
- Be prepared to step in for emergency response or crisis situations, coordinating with local authorities and emergency services if necessary.
- Provide guidance and support to security personnel during high-pressure situations to ensure smooth operations.
**Qualifications**:
- **Education**:
- Post Secondary diploma required; a degree in Criminal Justice, Security Management, Business Administration, or a related field is preferred.
- **Experience**:
- 1+ years of experience in security management, law enforcement, or operations, with at least 6 months in a supervisory or managerial role.
- Experience in managing security personnel, scheduling, and dealing with clients in a security services context is highly desirable.
- **Skills**:
- Strong organizational and leadership abilities.
- Excellent communication and interpersonal skills.
- Ability to handle high-pressure situations and make sound decisions quickly.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with security management software is a plus.
- Knowledge of security systems (CCTV, alarm systems) and related technologies is a plus.
