We are currently seeking a **Receptionist/Office Administrator/Admin Assistant** to join our team and play a key role in ensuring the smooth day-to-day operations of our office.
**Position Overview**:
**Key Responsibilities**:
**Reception Duties**:
- Greet visitors and direct them to the appropriate person or meeting room.
- Maintain a tidy and welcoming reception area.
- Manage incoming and outgoing mail, courier services, and deliveries.
**Office Administration**:
- Oversee general office operations and ensure office supplies are stocked and ordered as needed.
- Coordinate office maintenance and liaise with building management as required.
- Manage meeting room schedules and assist with setup for meetings and events.
- Assist with travel arrangements and accommodations for executives and team members.
- Support health and safety compliance, ensuring office procedures align with company policies.
**Administrative Support**:
- Assist various departments with administrative tasks, such as data entry, document preparation, and filing.
- Prepare and format reports, presentations, and correspondence.
- Maintain and update company records, databases, and contact lists.
- Provide support for HR functions such as onboarding, benefits administration, and maintaining personnel records.
- Assist with invoicing, expense tracking, and vendor coordination.
**Event Coordination**:
- Plan and coordinate company events, meetings, and team-building activities.
- Manage catering and logistics for meetings and events.
**Qualifications and Skills**:
**Required**:
- 2+ years of experience in an administrative, receptionist, or office management role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Professional demeanor and customer service-oriented mindset.
- Ability to handle sensitive and confidential information with discretion.
**Preferred**:
- Experience in the real estate, construction, or property management industry is an asset.
- Familiarity with office management software (e.g., SharePoint, Google Workspace, etc.).
- Basic knowledge of accounting or HR procedures is a plus.
- Experience with Yardi Voyager software would be an asset.
