Executive Assistant to The President

Armour Heights has an exciting new opportunity to join our organization as an Executive Assistant to support our executive team.
**Responsibilities include**:
- Work directly with the President to support all aspects of his daily work routine and support to project managers, controller and accounts director as required.
- Keep the President advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Serve as a primary point of contact between the President and liaison with consultants, and City staff.
- Manage the Presidents calendar to ensure meetings are prioritized with internal/external clients as appropriate.
- Answering phones and routing calls to the correct person or taking messages.
- Handling basic bookkeeping tasks. Prepare, reconcile, and submit expense reports.
- Filing and retrieving corporate records, documents, and reports both paper and electronic.
- Helping prepare for board meetings/ consultant meetings including knowledge of zoom or Teams Meeting.
- Accurately recording minutes from meetings.
- Greeting visitors.
- Using various software, including word processing, spreadsheets, databases, and presentation software.
- Knowledge of PowerPoint and Excel.
- Reading and analyzing incoming memos, submissions, and replying or distributing them as needed.
- Performing office duties that include ordering supplies and managing a records database.
- Provide general administrative support.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
**Qualifications**
- Proven experience as an executive assistant or other relevant administrative support experience.
- In-depth understanding of entire MS Office suite.
- High school diploma.
- Ability to organize a daily workload by priorities.
- Must be able to meet deadlines in a fast-paced quickly changing environment.
- A proactive approach to problem-solving with strong decision-making skills.
- Professional level verbal and written communications skills.
- Background in construction is considered an asset
**Salary**: $40,000.00-$45,000.00 per year
