**The Position**
Jawl Properties is seeking to hire a self-motivated individual in a leasing and marketing administration role to join our team in Victoria, BC. The key responsibilities of the Leasing & Marketing Coordinator position include:
- Overseeing data management by creating, updating, and maintaining various databases, trackers, spreadsheets and a customer relationship management system in order to record critical information pertaining to lease agreements, vacancies and overall portfolio management.
- Providing excellent customer service to new and existing tenants and follow-up for key information relating to compliance to lease requirements.
- Assisting in the coordination, execution and distribution of legal documents including leases, licenses and other contracts.
- Generating reports on both a regular and ad hoc basis (such as status reports and vacancy activity reports), conducting preliminary analysis of issues and trends, and providing feedback to lease managers and the broader team.
- Providing information and input for responses to requests for proposals and assembling background information as requested by lease managers.
- Preparing purchase orders and work orders based on approved quotes and negotiated terms.
- Liaising with tenants, prospective tenants, administrators and commercial realtors to gather and provide information.
- Supporting the leasing, marketing and broader corporate team with planning, implementing and monitoring marketing campaigns.
- Maintaining corporate and project specific websites including carrying out updates and uploading property brochures.
- Evaluating campaign and website data (SEO, analytics, etc.) and creating reports on key metrics in order to monitor and improve upon campaign efficiency and analyze trends.
- Scheduling, organizing and coordinating special events and meetings including the preparation and distribution of invitations and materials, organizing venues, catering, services, etc.
- Aiding in monitoring and researching industry trends and undertaking special research projects on an as needed basis.
- Supporting the coordination of exterior and interior building and tenant signage.
- Other duties, responsibilities, tasks and special projects will be required based on organizational need.
- The position includes close communication and collaboration with our leasing, administration and operations teams.
- This position requires an adaptable individual able to manage shifting priorities and varied tasks with time sensitive deadlines. It will also require an effective communicator and problem-solver who enjoys working independently as well as collaborating with others in our fast-paced organization.
**Education, Skills & Experience**
- Post-secondary degree or certificate in commerce, business administration, communications or related field. Specialization in real estate or marketing considered an asset but not required.
- Strong commitment to delivering outstanding customer service outcomes.
- Excellent written and oral communications skills.
- Preference may be given to those with demonstrated experience in real estate.
- Strong analytical and research skills and the ability to find and implement creative and practical solutions to problems.
- Knowledge and understanding of business tools, templates and processes to support real estate leasing and marketing administration functions.
- Demonstrated ability to work positively and collaboratively in a team environment.
- Ability to demonstrate initiative, to work independently and to work well under pressure.
**Nice to Have skills**:
- Experience in marketing, photography, graphic design, and website management or development.
- Experience with Adobe Creative Suite or similar products.
- Experience with financial analysis.
- Experience with legal contracts.
