**Why this role?**

**Core Duties and Responsibilities**

As an Executive Assistant, you will provide administrative support to the Vice President on the day-to-day management of the firm. Responsibilities will include:

- Managing the schedule for numerous firm committees, including Executive, Compensation, Partnership, Articling, and Employee Recognition;
- Coordinating Associate and Partnership review cycles;
- Organizing Summer Law Student Program and Articling Clerk hiring process, including participating as a member of the Articling Committee;
- Providing data analytics, reporting, and metrics as required;
- Implementing and facilitating Lawyer onboarding and offboarding process, including opening new lawyer files, preparing checklists, updating internal documents, etc.
- Supporting practice teams by scheduling team meetings, preparing and distributing meeting agendas, and taking and distributing meeting minutes;
- Liaising with accounting on cheque requests for internal programs;
- Overseeing internal programs such as hospital flowers, memorial donations, Journal Club, Trivia Night, Flu Shot Clinic, Canadian Cancer Society Annual Daffodil Campaign, and Billable Hours Award; and,
- Other general and administrative support to the P&C Team and broader firm.

**Qualifications and Skills**

To be successful, you possess the following qualifications and skills:

- Diploma or Degree in Business or Office Administration, or similar field preferred. Equivalent experience accepted;
- 5-10 years’ experience in an Executive Assistant or similar role;
- Outstanding organizational and time management skills, including navigating competing deadlines and priorities;
- Proactive approach, thinking ahead to upcoming work and preparing appropriately and effectively;
- Successfully adapting to regularly shifting priorities in a dynamic environment;
- Exceptional verbal and written communication skills with the ability to build strong relationships at all levels, both inside and outside the firm;
- Ability to be self-motivated and autonomous;
- Excellent team player who contributes positively to the team culture;
- Excellent computer skills, specifically Microsoft Word, Outlook, and Excel with the ability to learn new software quickly; and,
- Ability to maintain a high degree of confidentiality, tact, diplomacy, and discretion at all times.
