Executive Assistant

As the Executive Assistant to the President and COO, you will be the cornerstone of executive operations—ensuring leadership stays focused on strategic priorities while you manage the details that keep the organization running smoothly. This role goes beyond traditional administrative support; you'll act as a trusted partner, coordinating high-level initiatives, streamlining communication, and creating an environment where collaboration thrives. If you excel at anticipating needs, juggling multiple priorities, and delivering polished results under pressure, this is your opportunity to make a meaningful impact at the heart of DORA Construction's success.

Position Responsibilities:

*Including but not limited to:

  • Calendar & Meeting Management: Coordinate and manage complex calendars, schedule meetings, appointments, and events. Book boardrooms and meeting spaces and manage reminders.

  • Meeting Support: Prepare agendas, set priorities, and distribute materials. Take detailed meeting notes and send follow-up communications.

  • Document & Presentation Preparation: Create professional presentations, reports, and correspondence.

  • Expense & Budget Support: Assist with monthly reconciliations, expense approvals, and invoice processing.

  • Travel & Event Coordination: Arrange executive travel, accommodations, and lunches. Support planning of corporate events and social committee activities.

  • Systems & Tools: Utilize platforms such as SharePoint, TimberScan, and Procore for document and project management.

  • Relationship Management: Foster strong working relationships with HR, Operations, Project Managers, and support teams.

Qualifications:

  • Prior experience as an Executive Assistant.

  • Experience in the construction industry considered an asset.

  • Excellent interpersonal and communication skills, both written and verbal.

  • Strong organizational and multitasking abilities, with a keen eye for detail.

  • Proficiency in Microsoft Office Suite and general office operating systems.

  • A positive, friendly attitude and a genuine desire to provide exceptional service to both visitors and colleagues.

  • Previous experience in the construction industry is considered an asset.

  • Ability to work independently and as part of a team in a demanding environment.

Salary

**Depending on experience.

Pay: $60,000.00-$75,000.00 per year
