CARSTAR Collision and Glass is looking for a dedicated individual who wants to advance their careers Our busy shop on Saskatchewan Ave in West Winnipeg is looking for an Office Manager to join their team. The Office Manager is responsible for performing clerical, accounting and administrative duties including greeting customers, answering phones, scheduling repairs, typing correspondence, preparing various reports, account receivables, filing and general human resources administration.
**Responsibilities**:
- Greets and assists customers, schedules vehicles for estimates, checks-in vehicles, performs follow-up calls to customer upon completion of vehicle.
- Explain CARSTAR’s repair process, including insurance claims processing, payment procedures, repair techniques, repair needs and expected delivery date of repair.
- Performs financial duties including processing of payments, preparing daily deposit log, petty cash reconciliation, collect receivables and submitting receivable adjustments.
- Provide accurate, timely payroll and HR-related administration and record keeping.
- Collect and record payments for completed repairs and manage A/R.
- Prepares various reports and updates including morning reports, rental updates, accounts receivable reports, Repair Center and production reports.
- Reviews repair orders for accuracy.
- Closes repair orders in accordance to MPI standards.
- Maintains and organizes vendor invoices, bulletin boards, break rooms, employee files, office supplies and front office.
- Attend daily production meetings.
- Other duties as assigned.
**Qualifications**:
- Excellent phone etiquette and excellent verbal, written, and interpersonal skills
- Ability to multi-task, organize, and prioritize work
- Post-secondary education or equivalent experience in customer service
- Comfortable working on the computer in numerous programs
- Comfortable working on the phones
- Experience with MPI policies and procedures considered an asset
- Experience in the auto body industry an asset
- Class 5 Drivers license
- Highly organized
- Detail orientated
