**Position Summary**:
The Warehouse & Procurement Coordinator plays a key supporting role in ensuring the Compassion Society of Halton’s warehouse operates efficiently and that clients receive timely access to food, clothing, hygiene products, and seasonal goods. This individual will assist in the day-to-day operations of the warehouse, manage inventory tracking, and support procurement processes, including maintaining relationships with suppliers and community partners. This role ensures the smooth flow of supplies that directly support vulnerable, newcomer, and low-income families across Halton.
**Key Responsibilities**:
**Warehouse Support & Inventory Management**
- Organize and over sees daily receipt, sorting, organizing, and storage of food, clothing, hygiene items, and donations.
- Prepare and stage food and clothing bundles for scheduled client appointments.
- Maintain cleanliness, safety, and organization across all warehouse zones (shelving, fridges/freezers, donation drop-off areas).
- Conduct weekly inventory counts and assist in maintaining digital inventory records.
- Identify and report low-stock or overstocked items to the Executive Director.
- Maintain and monitor all associated equipment on a daily basis.
- Keep all warehouse training and policies updated and to keep in line with healthy and safety procedures.
- Regular maintenance and upkeep of Compassion vehicle.
**Procurement & Vendor Coordination**
- Sourcing fresh produce, culturally relevant foods, and special dietary items (e.g., gluten-free).
- Coordinate pickups and deliveries with community food banks, donors, and suppliers (e.g., Feed Ontario, Food for Life, Giant Tiger).
- Maintain an up-to-date procurement tracker to record vendor contacts, orders, and delivery schedules.
- Assist in vetting new suppliers and donors and tracking in-kind donations for reporting.
- Coordinate all warehouse volunteer training support.
**Administrative & Reporting Tasks**
- Enter data related to received and distributed items into inventory systems and reporting databases.
- Support monthly reporting to funders and internal leadership (e.g., number of food distributed, volume of donations).
- Organize procurement documentation including receipts, packing slips, and invoices.
- Assist with grant compliance by tracking purchases funded by specific sources (e.g., OYF, Resilient Communities Fund).
**Volunteer & Client Interaction**
- Work respectfully with volunteers assisting in sorting, stocking, and packing activities.
- Provide guidance to new volunteers in warehouse procedures and safety.
- Greet and assist delivery drivers, donors, and clients receiving food or clothing support.
- Occasionally support community outreach or event logistics (e.g., seasonal drives, holiday hamper days).
**Qualifications**:
**Required**:
- Diploma or equivalent.
- 2+ years of experience in a warehouse, food bank, retail stockroom, or logistics environment (volunteer experience acceptable).
- Strong attention to detail, organization, and time management.
- Able to lift up to 40 lbs and work in a fast-paced environment.
- Comfortable using basic computer systems (MS Excel, Google Sheets, inventory software).
- Excellent communication skills and a respectful, inclusive approach to client service.
- Willingness to work as part of a team and support a mission-driven nonprofit organization.
- Valid driver’s license and access to a vehicle for occasional pick-ups (an asset but not required).
**Preferred**:
- Experience in food procurement, purchasing, or supplier relations.
- Knowledge of warehouse health & safety practices and food handling standards.
- Multilingual skills are a strong asset given our diverse client base.
**Compensation & Benefits**:
- Hourly wage or salary: $45,000 to 55,000

**Work Environment**:
- On-site at the Compassion Society of Halton location in Burlington.
- Indoor warehouse with access to commercial fridges/freezers.
- Some light travel within the Halton region may be required for pickups and deliveries.
- May involve occasional evening or weekend support during peak distribution periods or events.
