**Position Summary**
The Executive Assistant will be a key player in our team, providing executive support to the principal while also taking on responsibilities in human resources and accounts receivable. This is an ideal role for a highly organized individual with a background in HR and financial administration who thrives in a dynamic, fast-paced environment. You’ll work closely with our team to ensure seamless daily operations and efficient client interactions.
**Key Responsibilities**
- **Executive Support**:
- Manage the principal’s schedule, communications, and travel to maximize productivity.
- Draft, edit, and organize documents, presentations, and reports.
- **Human Resources Support**:
- Oversee employee onboarding and maintain personnel records.
- Support employee engagement initiatives and help manage staff development programs, including training and performance reviews.
- Ensure adherence to company policies and provide administrative support on HR matters.
- **Accounts Receivable**:
- Manage invoicing, follow up on outstanding payments, and maintain accurate records of client accounts.
- Assist with financial reporting and support the accounting team with monthly and quarterly reconciliations.
- Respond to client inquiries regarding payments and account status, providing exceptional service and professionalism.
- **Communication Management**:
- Serve as a point of contact between clients, vendors, and the internal team.
- **Office Administration**:
- Oversee daily office operations, manage inventory, and coordinate with vendors as needed.
- Organize internal meetings, training sessions, and company events to foster team collaboration and engagement.
**Key Qualifications**
- **Experience**: Minimum of 3 years in an executive or administrative support role, with demonstrated experience in HR and accounts receivable.
- **Technical Skills**: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) with experience in accounting software and HR management systems preferred.
- **Interpersonal Skills**: Strong communicator with a client-focused attitude and the ability to maintain confidentiality.
- **Organizational Abilities**: Exceptionally organized, with strong attention to detail and the ability to prioritize tasks.
- **Problem-Solver**: Proactive, solutions-focused approach with the ability to anticipate needs and manage multiple responsibilities effectively.
