**PROFILE****:
The Administrative Assistant is a core member of our collaborative qathet Primary Care Network (qPCN) team, working closely with and taking direction from the qathet Division of Family Practice (qDFP) PCN Manager. As an efficient and organized professional, you increase team capacity by developing and maintaining day-to-day administrative processes of the qPCN.

You are an organized, self-starter with strong skills in supporting organizations and people to develop and maintain efficient administrative and scheduling processes. You are a collaborative team member with excellent critical thinking skills that allow you to identify core issues and tasks to achieve quality administrative support within deadlines. Your attention to detail and strong technology skills enhances our growing team's ability to organize meetings and events, collect and maintain evaluation data, prepare and distribute communication materials, and manage finances and documents. You enjoy building relationships and use your clear and respectful communication skills to enhance partnerships and public engagement in the shared goals of the qPCN. **BACKGROUND**:
The qPCN is a new initiative funded by the Ministry of Health to build integrated teams of primary care providers (e.g., physicians, nurse practitioners, nurses, social workers, and physical therapists) working together to provide patient-centered care that meets the needs of the local population. The qPCN is developed and managed by a partnership between the qDFP, Vancouver Coastal Health, Tla'Amin Health, and a local patient advisory council.

The Administrative Team of the qPCN is hired and managed by the qDFP, a non-profit society, that aims to increase primary health care capacity and to improve patient and population outcomes by developing and implementing programs and services that will positively impact family physicians and their patients. The division was founded in 2010. Today, the division's membership includes 38 family physician, 13 specialists, and three nurse practitioners.

**WORK TERMS AND HOURS**:
This position is an evolving role with a need for some flexibility as demands will fluctuate from week to week and include some evening and early morning engagements. We anticipate the position to average 25-35 hours per week.

**TOTAL COMPENSATION PACKAGE**:
The employment rate will be commensurate with qualifications and experience in the range of $25-$30 per hour. Travel and expenses are reimbursed. **KEY RESPONSIBILITIES**:
The Administrative Assistant works independently, is a force for staff, partner, and primary care provider collegiality, and represents the interests of the Primary Care Network in all interactions. The Administrative Assistant works closely with qDFP and qPCN staff, primary care clinic teams and partner organizations (Facility Engagement, Vancouver Coastal Health, GPSC, etc.). Accordingly, the Administrative Assistant will provide and engage in a wide range of activities, including but not limited to:

- Provide administrative support to the Primary Care Network (PCN) team, its committees and working groups;
- Support the preparation of meeting materials, including reports, presentations and agendas;
- Record meeting notes and prepare summaries which may include action items, decision logs, parking lot logs and participant satisfaction, in a timely manner, including some early morning and evening meetings;
- Arrange and support meeting and event logistics (date/time/location and catering), equipment needed and RSVPs, including virtual meetings (e.g., Zoom);
- Support the gathering, input, processing and analysis of data and information to assist in the development and evaluation of the PCN;
- Support the gathering, input, processing, and reporting of PCN invoices and financials;
- Respond to stakeholder inquiries about specific initiatives;
- Assist with developing and maintaining positive relations with stakeholders, partners, other professionals and the community;
- Maintain confidentiality in all aspects of client, staff and agency information as per organizational policy;
- Collect, manage, store and use information in accordance with the Personal Information Privacy Act (PIPA);
- Demonstrate and promote a culturally safe work environment and participate in ongoing learning opportunities in anti-racism and decolonization;
- Participate in regular Division team meetings and in learning for job specific topics as approved by the PCN Manager;
- Prepare and assist in delivering a variety of communications for the PCN, the Division and their initiatives (e.g., online newsletter, posters, website maintenance
