**The Role**
As a **Property Manager - Short & Long-Term Rentals**, you will be required full-time on-site located at any one of our several properties located in Alberta. This role will also provide management support (as required) to two properties in British Columbia.
The Property Manager will be responsible for the day-to-day management of business operations, including overseeing maintenance and repairs, conducting inspections, managing tenant relationships, handling lease agreements, facilitating property tours/viewings for new tenants and ensuring regulatory compliance.
You will also be responsible for budgeting, financial reporting, coordinating with local contractors/external vendors, as well as provide on-site support to our portfolio of short-term rental properties.
**Please note, due to the nature of this role, flexibility outside of standard working hours may be required at times to accommodate emergencies and/or tenant needs**, **along with occasional travel to BC, as required by the needs of the business.**
**Responsibilities**
**Airbnb/Short-Term Rental Support**:
- Manage day-to-day operations of multiple short-term rental properties
- Coordinate guest check-ins/check-outs and resolve guest issues promptly
- Oversee schedules and communications with cleaners and ensure units are guest-ready
- Utilize dynamic pricing tools (e.g., Airbnb Smart Pricing, PriceLabs, Beyond) and market data to strategically adjust nightly rates based on demand trends, seasonality, local events, and competitor performance to maximize occupancy and revenue across all listings
- Coordinate repairs and maintenance with contractors and vendors
- Monitor property performance and reviews, ensuring quality and compliance
- Prepare monthly, quarterly, and annual financial reports for the property owners
- Maintain inventory of supplies and restock as needed
**Tenant Relations**:
- Act as the primary point of contact for all new and existing tenants.
- Address and resolve tenant complaints, concerns, and maintenance requests promptly and professionally.
- Ensure high tenant satisfaction to reduce turnover rates.
- Handle lease renewals, terminations, and moves-in/move-out procedures inclusive of relationship management, communications to internal team and directly with the tenant, as well as preparing and processing all required documentation.
- Enforce property rules and regulations.
**Leasing**:
- Coordinating with Leasing Associate on viewings of all available units to prospective tenants and conduct tours of the property.
- Support Leasing Associate with lease agreements, ensuring compliance with local and provincial laws, and managing the collection of security deposits.
**Property Maintenance**:
- Coordinating regular and/or required maintenance of the property, including landscaping, cleaning, and repairs.
- Schedule and supervise contractors and/or external vendors for larger repairs or renovations.
- Perform weekly, monthly, and annual property inspections to ensure proper preventative maintenance and proactively detect potential issues.
- Work alongside on-site Maintenance Technician with regards to any property related requests.
- Coordinate emergency repairs as needed.
**Financial Management**:
- Manage the collection of rent payments, handle late payments, and enforce payment policies as needed.
- Maintain accurate records of income, expenses, and financial transactions for the property.
- Manage accurate documentation and records of all transactions made on Corporate Card, and sending monthly tracking reports to Finance Team.
- Prepare monthly, quarterly, and annual financial reports for the property owner.
- Oversee and manage the property budget, ensuring all financial goals are met.
**Compliance & Legal Duties**:
- Stay current on all local, provincial, and federal laws & compliance related to housing, tenant rights, and property management.
- Ensure that all leasing and property management activities are in legal compliance.
- Bringing to the immediate attention of the property owner any issues that are not in compliance.
- Prepare and file eviction notices as needed, and handling any legal proceedings in conjunction with legal counsel.
**Administrative Duties**:
- Maintain accurate tenant files, lease agreements, and documentation of property conditions and maintenance requests.
- Prepare and manage clear, respectful and proactive communications with tenants regarding rent increases, policy changes, and lease renewals.
