**About the Opportunity**:
The Administrative Assistant is the initial contact/resource person to the Head/Chief of the Department of Medicine. The Administrative Assistant reviews and responds to all incoming correspondence and inquiries, bringing attention to issues of particular relevance or urgency; schedules, maintains, and prioritizes Head/Chief’s calendar and coordinates background material for daily meetings; composes routine correspondence, as well as proof-reads and edits material submitted for the Head/Chief’s signature and use.
The Administrative Assistant provides administrative support to selected committees under the responsibility of the Head/Chief, including the Department of Medicine Executive Committee and the Department of Medicine monthly meeting and serves as a resource on other committees or task forces as assigned. The Administrative Assistant assists with project coordination related to departmental activities; develops and maintains processes for issues management, keeping the Head/Chief apprised of events/information that affect(s) workflow and service delivery; coordinates/organizes logistics for large meetings, conferences and functions as required.
**This is a Hybrid Work position, and is eligible for work-from-home and office status.**
**About You**:
We would love to hear from you if you have the following:
- Post-Secondary diploma in a recognized office administration, business administration or secretarial program
- Undergraduate degree is an asset
- International Association of Administrative Professionals (IAAP) certification is an asset
- Minimum of 5-7 years’ of progressively responsible experience, providing administrative support and office coordination at the executive level required, preferably within healthcare
- Thorough knowledge of all aspects of the department, its policies and procedures, as well a general knowledge of institutional policies and procedures, healthcare legislation, collective agreements and other portfolio's services provided within Nova Scotia Health
- The incumbent maintains an awareness of internal and external issues that may impact the department/organization
- Well-developed abilities and skills in all facets of modern office practices and technology and with information and meeting technologies
- Works effectively during periods of high activity and with varying personality styles and tasks
- Excellent communication, interpersonal, prioritizing and organizational skills
- Competencies in other languages an asset, French preferred

**Compensation and Incentives**:
$23.57 - $29.65 Hourly
