**What you will do**:
Reporting to the Supervisor Fleet Services, your primary responsibilities will include, but are not limited to, the following:
- Support the daily operations and administrative functions of the City’s fleet of over 350 vehicles and equipment, ensuring efficiency, reliability, and a strong customer service focus across all internal client interactions
- Maintain regulatory compliance with CVOR and MVIS requirements, keeping accurate and organized records
- Administer the creation and tracking of work orders for both internal and external fleet repairs and maintenance, ensuring timely service and proper documentation
- Maintain responsibility for the City’s fuel system, including fuel cards, documentation control, and reporting on fuel usage across the fleet
- Facilitate the onboarding and offboarding of vehicles by coordinating with internal departments and external vendors, and ensure the fleet system is updated with all vehicle status changes
- Maintain responsibility for accurate data entry and updates across fleet management systems, including inspections, repairs, and compliance records
- Administer the vehicle auction and disposal process, including recordkeeping and reconciliation
- Support long
- and short-term fleet maintenance planning and assist with procurement processes
- Assist in providing coverage across divisional responsibilities during periods of absence or high demand
- Facilitate internal team operations by preparing meeting materials, supporting communication, and coordinating engagement activities and supplies
**What you will bring**:
- A post-secondary diploma in Office Administration or a related field, with a minimum two (2) years related to administrative experience. An equivalent combination of education, experience and training in related areas may be considered
- Must be proficient with demonstrated experience in using Microsoft Word and Excel
- Experience with specialized fleet management systems and telematics software programs, is considered an asset
- Understanding of CVOR (Commercial Vehicle Operator Registration) and MTO (Ministry of Transportation) regulations and compliance requirements is considered an asset
- Ability and willingness to travel to various worksites, as necessary, utilizing reliable, safe and efficient methods of transportation is required to perform the job
