Job Description Summary

The Intramural Student Engagement Coordinator is responsible for the ongoing development, implementation and evaluation of programs and initiatives supporting the Intramural (IM) Student Staff including, but not limited to: recruitment, onboarding, training, professional development, recognition, academic support and administration. The incumbent will also serve as the lead and Race Director for the UBC Triathlon with responsibilities including: staff training and development, event scheduling, registration process coordination, marketing coordination, site and equipment management, risk management, route planning, permit acquisition and evaluation. This position will require regular evening and weekend work as well as at times extended hours.

This position reports to the Director, Intramurals and Recreation and manages 2 student staff teams: Program Development and Officials Development. The role is a member of the Intramural professional staff team and works collaboratively with colleagues across UBC and the Department of Athletics & Recreation to develop and deliver programs and services to support a culture of learning, leadership, involvement, and service for the 120 student volunteer staff, 180 league officials and external volunteers.

Organizational Status

Athletics & Recreation is a division within the VP Students Portfolio with responsibility for shaping the student experience and learning environment. The A&R Department has a team of approximately 100 employees, and is led by a strong cross-unit management team. It services over 20,000 students through recreational programming, 25 varsity teams, 13 competitive club teams, along with thousands of members of the UBC community.

The Intramural Student Engagement Coordinator reports to the Director, Intramurals and Recreation. The position works in close collaboration with the marketing, Intramural events and Intramural league coordinators, but takes direction from the Director, Intramurals and Recreation. This position also works with other A&R staff, VPS staff and external partners and agencies.

Work Performed

Intramural Student Staff Program Delivery:
In consultation with the IM programming staff, develops, implements and evaluates all IM student staff recruitment, hiring, training, onboarding, professional development, recognition, academic and admin strategies.
Develops and implements recruitment and hiring timelines and formats for all IM staff.
Oversees the development, execution and evaluation of orientation and welcome programs including: IM student staff hiring orientation; September Welcome Back, Program Development, Director and Full Staff retreats (Aug-Sep) and January Welcome Back Retreat (Jan).
Works with external partners, program development and IM professional teams to ensure the content and delivery of Leadership, Inclusivity, Health & Safety, Crisis & Emergency Management training programs is current and effective.
Develops, coordinates and delivers strategic recruitment of Intramural staff with support from marketing team. This includes volunteers, officials and day of external volunteers.
Leads, coordinates and delivers on staff recognition and awards initiatives including term end banquets (Dec and Apr), intramural staff year end awards and ongoing staff recognitions programs.
Leads and oversees personal and professional development programs and opportunities including: Intramural board of directors, alumni summits and conferences - UBC SLC, NIRSA Canada.
Monitors academic standard adherence and continues to develop academic support programs.
Works with Program Development and Officials Development to ensure that all social programs are consistent with departmental standards and expectations
